How Card Payments Work #

The Payment Flow #

1. You send payment link/invoice to client
   ↓
  1. Client clicks "Pay Now"
  1. Redirected to secure Stripe Checkout
  1. Client enters card information
  1. Payment processed instantly
  1. Both you and client receive confirmation
  1. Funds transferred to your Stripe account
  1. Payout to your bank (2 business days)

Sending Payment Requests #

From Performance Page #

  1. Open the performance in BookLive
  2. Go to “Payments” or “Invoices” tab
  3. Click “Request Payment” or “Send Invoice”
  4. Review payment amount
  5. Client email auto-filled (or enter manually)
  6. Click “Send”

What Client Receives #

Email contains:

  • Your group/name
  • Performance details (date, location)
  • Amount due
  • “Pay Now” button
  • Payment deadline (if set)

Payment Link #

Clients receive a unique payment URL:

https://booklive.com/client-portal/[unique-id]

On this page, clients can:

  • View performance details
  • See invoice/contract
  • Choose payment method (card or bank transfer)
  • Make payment securely
  • Download receipt

What Clients See During Checkout #

Step 1: Payment Method Selection #

Step 2: Card Payment (Stripe Checkout) #

Clients are redirected to Stripe’s secure checkout page:

Information Requested:

  • Email address
  • Card number
  • Expiration date (MM/YY)
  • CVC code (3-4 digits on back)
  • Billing ZIP code

Payment Summary Shown:

Performance Fee:     $1,000.00
Processing Fee:      $   30.30

Total:               $1,030.30

Security Features Visible:

  • Padlock icon in browser
  • “https://” in URL
  • “Powered by Stripe” badge
  • Card logos (Visa, Mastercard, etc.)

Step 3: Confirmation #

Immediately after payment:

  • Success message displayed
  • Receipt emailed automatically
  • Redirected back to BookLive
  • Can download receipt from client portal

Accepted Card Types #

BookLive accepts all major cards:

  • ✅ Visa

  • ✅ UnionPay (international)

Prepaid and Gift Cards:

  • ✅ Most prepaid Visa/Mastercard work
  • ⚠️ Must be registered with billing address
  • ⚠️ Must have sufficient balance

Debit Cards:

  • ✅ Fully supported
  • Processed same as credit cards
  • Same fees apply

Payment Timing #

Processing Speed #

Authorization: Instant (less than 5 seconds)
Confirmation: Immediate after authorization
Funds to Your Stripe: Within minutes
Payout to Your Bank: 2 business days

Example Timeline #

Monday, 3:00 PM:  Client pays with credit card
Monday, 3:00 PM:  You receive confirmation email
Monday, 3:05 PM:  Payment shows in Stripe (pending)
Wednesday, 8:00 AM: Funds available in Stripe
Wednesday, 10:00 AM: Auto-payout initiated to your bank
Thursday, 9:00 AM: Money in your bank account

Weekends and Holidays:
Add one business day for each holiday/weekend day in the payout window.


Tracking Card Payments #

In BookLive #

Performance Page:

  • Click performance
  • View “Payments” tab
  • See all payments with:

– Date and time
– Amount
– Payment method (card shown as “BookLive Pay”)
– Status (Completed, Pending, Failed)
– Transaction ID

Payment Details:

  • Click any payment
  • View full details:

– Client email
– Card type (Visa, Mastercard, etc.)
– Last 4 digits of card
– Receipt download link

In Stripe Dashboard #

Payments Section:

  1. Log in to Stripe dashboard
  2. Click “Payments”
  3. See all card payments with:

– Client name (if provided)
– Amount
– Card brand and last 4
– Processing fees
– Status

Search and Filter:

  • Search by amount
  • Filter by date range
  • Filter by card type
  • Filter by status
  • Export to CSV

Saved Payment Methods #

How Saved Cards Work #

First Payment:

  • Client enters card information
  • Stripe securely saves card (with client’s permission)
  • Card associated with their BookLive client record

Future Payments:

  • Client can reuse saved card
  • Just click “Pay with saved card”
  • No need to re-enter card details
  • Faster checkout experience

Security #

Stored Securely:

  • Card numbers encrypted by Stripe
  • Only last 4 digits visible
  • Full card number never shown
  • Compliant with PCI-DSS Level 1

Client Control:

  • Clients can remove saved cards
  • Can add multiple cards
  • Choose which card to use

Processing Fees for Card Payments #

Standard Rate: 3.0% + $0.30 per transaction

Common Client Questions #

❓ “Is it safe to enter my card information?” #

Your Response:
“Absolutely! BookLive uses Stripe, the same payment processor trusted by Amazon, Google, and millions of businesses worldwide. Your card information is encrypted and never stored on our servers. Stripe is PCI Level 1 compliant, the highest security standard in the industry.”

❓ “Why is there a processing fee?” #

Your Response:
“The processing fee covers the cost of secure credit card processing, fraud protection, and instant payment confirmation. This is standard for all online payments. If you’d prefer to save on fees, we also accept bank transfers (ACH) which have a much lower fee.”

❓ “Can I pay with PayPal/Venmo/etc?” #

Current Answer:
“We use Stripe Checkout for secure payment processing, which accepts all major credit and debit cards, as well as bank transfers. If you prefer, I can also accept [other methods you’re willing to use] and record the payment manually.”

❓ “Will this show up as a charge from BookLive?” #

Your Response:
“The charge will appear on your statement from your group name or BookLive, depending on how the account is set up. It will also include the date and amount to help you identify it.”

❓ “Can I get a receipt?” #

Your Response:
“Yes! You’ll receive a receipt via email immediately after payment, and you can always download it from your client portal. The receipt includes all payment details and our contact information.”


Declined Card Troubleshooting #

Common Decline Reasons #

Insufficient Funds:

  • Card doesn’t have enough available credit
  • Solution: Try different card or bank transfer

Incorrect Information:

  • Wrong card number, expiration, or CVC
  • Solution: Double-check all fields

Card Expired:

  • Expiration date has passed
  • Solution: Use current, valid card

Billing Address Mismatch:

  • ZIP code doesn’t match card’s billing address
  • Solution: Enter correct billing ZIP

Bank Fraud Prevention:

  • Bank flagged as potentially fraudulent
  • Solution: Call bank to approve, then retry

Card Not Activated:

  • New or replacement card not yet activated
  • Solution: Activate card first, then retry

What You See #

If card is declined:

  • You receive notification
  • Payment status shows “Failed”
  • Client sees decline message
  • Client can retry immediately

Refunding Card Payments #

When to Issue Refunds #

Common Reasons:

  • Event canceled
  • Client overpaid
  • Goodwill gesture
  • Contract terms require it

How to Refund #

Process:

  1. Open performance in BookLive
  2. Find the payment
  3. Click “Refund” (if available)
  4. Enter refund amount (full or partial)
  5. Confirm refund

What Happens:

  • Refund processed through Stripe
  • Client’s card credited in 5-10 business days
  • Processing fees refunded by Stripe
  • You return the performance fee

Refund Example #

Original Payment:

Client paid: $1,030.30
You received: $1,000.00
Fees: $30.30

Full Refund:

Client refunded: $1,030.30 (full amount)
You refund: $1,000.00 (what you received)
Fees refunded: $30.30 (Stripe returns their fee)

Net Effect: Client gets full money back, you don’t lose money on fees.

For Smooth Payments #

✅ Send Clear Payment Requests:

  • Include performance details
  • State amount clearly
  • Set payment deadline
  • Provide your contact info

  • Send payment reminder 1 week before due

Troubleshooting #

❓ Client says they paid but I don’t see it #

Check:

  1. Confirm payment went through (ask for confirmation email)
  2. Check all your BookLive performances (may be wrong one)
  3. Check Stripe dashboard directly
  4. Verify client’s email address matches

Common Issue: Payment failed but client thought it succeeded.

❓ Payment shows as “Pending” for a long time #

For Card Payments: Should never be pending long (immediate)
If stuck pending: Likely a system issue

Solution:

  1. Check Stripe dashboard for status
  2. Contact BookLive support with transaction ID
  3. We can investigate and resolve

❓ Client’s card keeps getting declined #

After Trying:

  • Different cards
  • Verifying all information
  • Contacting their bank

Alternative:
“Let’s try ACH bank transfer instead. It’s actually cheaper for you ($5.50 fee vs $30 fee), though it takes a few extra days to process. Here’s the link to pay via bank transfer: [link]”
