Adding Notes to Client Records in BookLive

The Notes tab on a client record gives you a place to capture freeform observations, reminders, and context that don’t belong in a structured field — things like “Prefers email over phone,” “Met at the 2026 Wedding Expo,” or “Discussed upgrading package size on follow-up.” Notes are private to your group and stay attached to the client record indefinitely.

Before You Begin #

  • You must be a group leader or co-leader to add or delete notes.
  • Notes are not visible to the client — they are for internal use only.

Step 1: Open the Client Record #

  1. Log in at https://booklive.com/login.
  2. Click Clients in the left sidebar.
  3. Click the name of the client you want to add a note to.

Step 2: Navigate to the Notes Tab #

On the client detail page, click the Notes tab in the tab row near the top of the page. The tab row reads: Activities · Emails · Notes · Tasks · Inquiries · Performances · Proposals · Workflows.

Step 3: Add a Note #

  1. Click inside the Add a note text field.
  2. Type your note. There is no character limit.
  3. Press Enter to save it.

The note appears immediately below the text field, showing the date and time it was created alongside the note body. The text field clears automatically so you can add another note if needed.

Step 4: View Existing Notes #

All notes for a client are displayed on the Notes tab in reverse-chronological order (newest at the top). Each note shows:

  • Created: The exact date and time the note was saved.
  • Note: The full text of the note.

Step 5: Delete a Note #

To remove a note you no longer need:

  1. On the Notes tab, locate the note you want to delete.
  2. Click the delete icon (trash can) in the lower-right corner of the note card.
  3. A confirmation dialog will appear. Click Delete to permanently remove the note, or Cancel to keep it.

Deleted notes cannot be recovered, so confirm before proceeding.

Tips & Notes #

  • Notes are not editable after saving. If you need to correct a note, delete the original and add a new one.
  • Notes vs. Activities: The Activities tab is a system-generated log of events (emails sent, proposals created, etc.). Notes are manually written and meant for your own observations. Both tabs are useful — they serve different purposes.
  • Notes vs. Tasks: If your note is something that requires follow-up action, consider using the Tasks tab instead. Tasks support due dates and completion tracking. Notes are better for static context that doesn’t require action.
  • Use notes during initial calls. When you first speak with a potential client, jot down preferences, references, and personal details in Notes so they’re always visible when you pull up the record later.
