Your Booking Funnel lead capture form includes two optional contact fields — a Phone Number field and a Message textarea — that help you collect richer information from prospective clients before they ever speak to you. This article explains how these fields work, where they appear in the funnel, and how to configure the phone number field to be required.
How the Lead Form Is Structured #
The lead form is split into two steps. Step 1 collects event details (event type, date, and optional venue). Step 2 — the contact info step — is where prospects enter their name, email address, and the two fields covered in this article: phone number and a free-text message.
Both the phone number field and the message textarea are always displayed to visitors on Step 2. Phone number can be made required or left optional depending on your preference. The message field is always optional and cannot be made required.
The Phone Number Field #
The Phone Number field appears on the contact step of your funnel immediately below the email address field. By default, it is labeled Phone Number (Optional), and submitting without it is allowed.
When a visitor fills in their phone number and submits the form, BookLive stores it directly on the client record that is created for them. You can view and edit the phone number at any time from the client’s detail page.
Requiring the Phone Number #
If you want every lead to provide a phone number before they can advance, you can turn on the Require Phone Number toggle in your funnel settings:
- Log in to BookLive at https://booklive.com/login.
- In the left sidebar, click Marketing, then select Booking Funnel.
- Click Edit Funnel (or open the funnel setup for the relevant funnel).
- Scroll down to the Lead Capture Page section.
- Toggle Require Phone Number to the on position.
- Save your changes.
Once enabled, the field label changes to Phone Number (without the “Optional” note), and the form will not allow submission unless a phone number is entered. This validation is enforced both in the browser and on the server, so it cannot be bypassed.
To make the field optional again, return to the same setting and toggle Require Phone Number off.
The Message Field #
Below the phone number field is a free-text Message textarea, labeled Anything else we should know? (Optional). Visitors can use this to share additional details about their event — flexible dates, special requirements, specific song requests, or anything else they want you to know upfront.
When a lead is submitted, the message is stored on the Inquiry that BookLive creates and links to the new client record. You can find the inquiry (and the message it contains) by opening the client’s detail page and viewing their inquiry history, or directly from the performance that gets created when the inquiry converts.
There is no setting to make the message field required — it is always optional for visitors.
Tips & Notes #
- The Require Phone Number setting is per-funnel. If you have more than one booking funnel, you can enable the requirement on some funnels and leave it off on others.
- Requiring a phone number may reduce the number of leads who complete the form, since some visitors are reluctant to share their number before speaking with you. Test both settings to see what works best for your audience.
- Phone numbers submitted through the funnel are stored on the client record and are available for use in workflow emails, notifications, and SMS steps throughout BookLive.
- The message field content is not currently available as a workflow template variable — it lives on the inquiry record and is best reviewed directly from the client’s profile or the associated performance.
