BookLive lets you attach line-item services — such as a cocktail hour extension, a PA system rental, or an additional musician — directly to a performance. These services appear on the client-facing invoice alongside your base pricing, keeping everything in one place. This guide covers how to create reusable service templates at the group level and how to add, edit, or remove services on individual performances.
Part 1: Creating Group-Level Service Templates #
Service templates are reusable presets you define once for your group. Once saved, they’re available to apply to any performance with just a click — no need to re-enter names, prices, or musician counts each time.
- Log in at https://booklive.com/login.
- Navigate to your group by clicking your group name in the top navigation or sidebar.
- In the left sidebar, click Finances, then click Services.
- Click the + button in the top-right corner of the Services table to open the Create a Service dialog.
- Fill in the service details:
- Service name — a clear, descriptive label (e.g., Cocktail Hour Extension, PA System Rental).
- Description — optional notes about what the service includes.
- Price — the amount charged to the client.
- Deposit Amount — optional; set a specific deposit for this service if different from your group default.
- Musician Count — the number of musicians included in this service (enter 0 if no additional musicians are required).
- Click Save. The service now appears in your group’s Services list and is available to add to any performance.
To edit or delete a service template, navigate to Finances > Services, then click the pencil icon to edit or the trash icon to delete. Deleting a template does not affect performances where it has already been applied.
Part 2: Adding a Service to a Performance #
Once your service templates are set up, you can attach them to individual performances from the Offerings tab.
- Open the performance from your calendar or the Performances list.
- Click the Offerings tab on the performance detail page.
- Under the Service section, click + Add Service.
- In the dialog that appears:
- Select an existing service from the Choose a service dropdown, or click + Create New Service at the bottom of the list to create one on the spot.
- Enter the Price for this specific performance (the value from your template pre-fills, but you can adjust it).
- Enter the Musician Count — how many additional musicians this service requires.
- Click Save. The service appears in the Offerings table with its name and price, and the performance’s invoice total updates automatically.
You can add multiple services to a single performance — each one appears as a separate line item on the invoice.
Part 3: Editing or Removing a Service #
To change a service already attached to a performance:
- Go to the performance’s Offerings tab.
- In the Services table, click the pencil icon next to the service you want to change.
- Update the price or musician count as needed, then click Save.
To remove a service from a performance, click the trash icon next to it. You’ll be asked to confirm before it’s deleted. This only removes the service from this performance — your group-level service template is unaffected.
Part 4: Setting Invoice and Balance Due Dates #
The Offerings tab also lets you set the invoice and balance due dates for the performance — useful for scheduling when the client receives their invoice and when full payment is expected.
- Invoice Date — the date that appears on the client’s invoice. Click the calendar icon to select a date.
- Balance Due Date — the date by which the client should complete their payment. Click the calendar icon to set this date.
Both dates save automatically when you select them. They appear on the client-facing invoice and can help set clear payment expectations before the event.
Tips & Notes #
- Services and discounts both appear on the Offerings tab. Services add to the total; discounts reduce it. The running total is shown at the bottom of the table.
- If you frequently offer the same add-on (such as a cocktail hour at a flat rate), create a service template so you don’t have to re-enter details for each gig.
- Musician Count on a service is informational — it lets you track how many additional players a service requires, but it does not automatically add seats to the performance.
- Deposit amounts set on service templates can be adjusted when you attach the service to a performance.
