Difficulty: Beginner
Estimated Time: 10 minutes

Summary #

Tasks in BookLive help you track to-do items related to your performances and timelines. While tasks aren’t directly embedded within timeline segments, you can create tasks associated with performances to ensure timeline work gets completed on time. This includes creating timelines, selecting songs, finalizing details, and coordinating with clients.

This guide covers how to use BookLive’s task system to manage timeline-related work effectively.

Prerequisites #

Before using tasks for timeline management, make sure you have:

  • ✅ A BookLive account
  • ✅ At least one performance created
  • ✅ Basic understanding of timelines (see “How to Create and Manage Performance Timelines”)

Understanding Tasks in BookLive #

Tasks are to-do items that help you track work that needs to be completed for performances, clients, or partnerships.

Task Components #

Each task includes:

Name (Required)

  • Brief description of what needs to be done
  • Example: “Complete timeline for Johnson Wedding”

Body (Optional)

  • Detailed notes or instructions
  • Example: “Create timeline with ceremony, cocktail hour, and reception. Client requested specific timing for first dance at 7:30 PM.”

Due Date (Optional)

  • When the task should be completed
  • Helps prioritize work and get reminders

Assigned User

  • Who is responsible for completing this task
  • Typically the group leader or designated team member

Associated Entity (Optional)

  • Tasks can be linked to a Performance, Client, or Partnership
  • Clicking the task takes you to the relevant page

Completion Status

  • Mark tasks as complete when done
  • Completed tasks are hidden from your active to-do list

Where Tasks Appear #

Home Dashboard #

  1. Log in to BookLive
  2. Your home dashboard displays a “Tasks” card
  3. Shows your next 3 upcoming incomplete tasks
  4. Ordered by due date (soonest first)

Calendar View #

Tasks also appear on your home calendar:

  • Partnership Tasks – Purple indicators
  • Client Tasks – Purple indicators
  • Toggle visibility on/off using calendar filters

Performance Pages #

When viewing a specific performance:

  • See tasks associated with that performance
  • Quick access to timeline-related work
  • Route back to performance from task list

💡 Tip: Tasks provide visibility into what needs to be done across all your performances, so nothing falls through the cracks.

Creating Timeline-Related Tasks #

Step 1: Access Task Creation #

Option A: From Home Dashboard

  1. Go to your home dashboard
  2. Look for the “Tasks” card
  3. Click “Add Task” or “Create Task”

Option B: From Performance Page (if available)

  1. Open a specific performance
  2. Look for tasks section
  3. Click “Add Task”

Step 2: Fill Out Task Details #

Task Name (Required)

Be specific and action-oriented.

Good Task Names:

✅ "Create timeline for Smith Wedding (11/15)"
✅ "Select songs for Cocktail Hour - Johnson event"
✅ "Finalize timeline with client approval"
✅ "Review timeline with band members"
✅ "Send timeline to venue coordinator"

Avoid Vague Names:

❌ "Timeline"
❌ "To do"
❌ "Check on things"

Task Body (Optional)

Add context, requirements, or instructions.

Example:

Name: Create timeline for Smith Wedding (11/15)

Body:

  • Ceremony at 2:00 PM (traditional, 7 events)
  • Cocktail hour follows immediately (60 min)
  • Reception starts at 5:00 PM
  • Client wants first dance at exact 7:30 PM
  • Use “Wedding Reception” template as starting point
  • Need 20 songs for dinner, 60 for dancing

Due Date (Optional)

Set a realistic deadline.

Timeline Task Due Dates:

  • Initial timeline creation: 2-4 weeks before performance
  • Song selection: 1-2 weeks before performance
  • Finalization: 3-7 days before performance
  • Production sheets: 2-3 days before performance

💡 Tip: Set due dates earlier than you think you need. This builds in buffer time for client changes and unexpected issues.

Associated Performance (if applicable)

Link the task to the specific performance.

Benefits:

  • Quick navigation to performance details
  • Task appears in performance context
  • Helps team members understand which event it’s for

Step 3: Save Task #

  2. Click “Save” or “Create Task”
  3. Task is added to your task list

Tips for Effective Task Management #

📋 Organization Tips #

Use Consistent Naming:

Format: [Action] for [Performance Name] ([Date])

Examples:

  • “Create timeline for Johnson Wedding (11/15)”
  • “Select songs for Corporate Gala (12/01)”
  • “Finalize timeline for Holiday Party (12/15)”

Set Realistic Due Dates:

  • Don’t create unnecessary pressure
  • Build in buffer time for client changes
  • Consider your typical timeline development process

Break Large Tasks into Smaller Ones:

Instead of:

❌ "Complete all timeline work for Smith Wedding"

Try:

✅ "Create timeline structure for Smith Wedding"
✅ "Select ceremony songs for Smith Wedding"
✅ "Select reception songs for Smith Wedding"
✅ "Finalize timeline with Smith client"
✅ "Generate production sheets for Smith Wedding"

🎯 Workflow Tips #

Create Tasks in Batches:

  • When you book a performance, create all related tasks at once
  • Set progressive due dates
  • This ensures nothing is forgotten

Use Task Body for Context:

  • Include client preferences
  • Note special requirements
  • Link to relevant documents or emails

Review Tasks Weekly:

  • Every Monday, review upcoming tasks
  • Reprioritize if needed
  • Complete quick tasks immediately

👥 Collaboration Tips #

Assign Tasks to Team Members:

  • Delegate timeline work to assistant bandleader
  • Have different team members handle different segments
  • Clear ownership prevents duplicate work

Use Tasks for Accountability:

  • Tasks create a paper trail of what needs to be done
  • Easy to see who’s responsible
  • Helps prevent work from falling through cracks

Coordinate with External Partners:

  • Create tasks for coordinating with venues
  • Tasks for getting client approvals
  • Tasks for sharing timelines with other vendors

Common Issues & Troubleshooting #

❓ I don’t see a place to create tasks #

Possible causes:

  1. Task feature may be accessed from different location than expected
  2. Permissions issue

Solution:

  • Check your home dashboard for “Tasks” card
  • Look for “Add Task” button
  • Contact support if task creation isn’t available

❓ My completed tasks are still showing up #

Why this happens:

  • Tasks might not be properly marked complete
  • Filter settings may be showing completed tasks

Solution:

  • Verify task has a “completed_at” timestamp
  • Check filter settings to hide completed tasks
  • Refresh the page

❓ I can’t link a task to a specific performance #

Current Limitation:
Task-to-performance linking may vary based on how you access task creation.

Workaround:

  • Include performance name and date in task name
  • Add performance details in task body
  • Use consistent naming conventions for easy searching

❓ Tasks don’t have reminders #

Current State:
As of October 2025, BookLive tasks appear on your dashboard and calendar but may not send automated email/SMS reminders.

Best Practice:

  • Check your task list regularly (daily or every few days)
  • Set calendar reminders separately if needed
  • Don’t rely solely on BookLive for time-sensitive reminders

❓ I have too many tasks and it’s overwhelming #

Problem: Task list becomes unmanageable.

Solutions:

1. Complete or Delete Outdated Tasks:

  • Go through your task list
  • Complete tasks you’ve finished
  • Delete tasks that are no longer relevant

2. Prioritize Ruthlessly:

  • Focus on tasks due in next 7 days
  • Defer less urgent timeline work

3. Break Down Large Tasks:

  • Makes progress more achievable
  • Easier to check off completed work

4. Batch Similar Tasks:

  • “Select songs for 3 upcoming performances” becomes one focused work session
  • More efficient than switching contexts

❓ Can other team members see my tasks? #

Task Visibility:

  • Tasks are typically user-specific
  • Assigned to individual users
  • May not be visible to entire team

For Team Coordination:

  • Communicate task completion via other means (chat, meetings)
  • Use shared documents for collaborative timeline work
  • Consider other project management tools for complex team coordination

Integrating Tasks with Timeline Workflow #

Timeline Creation → Task #

After creating timeline:

  1. Create task: “Select songs for timeline segments”
  2. Due: 1-2 weeks before performance
  3. Link to performance

This reminds you to:

  • Come back and populate timeline with music
  • Not leave timeline events empty
  • Stay on schedule

Timeline Finalization → Task #

When timeline is nearly complete:

  1. Create task: “Get client approval on timeline”
  2. Due: 7-10 days before performance
  3. Body: Include specific items client needs to review

This ensures:

  • Client review happens on time
  • You don’t finalize without approval
  • Changes can be made with enough notice

Production Sheets → Task #

After finalizing timeline:

  1. Create task: “Generate and distribute production sheets”
  2. Due: 2-3 days before performance
  3. Body: List team members who need sheets

This ensures:

  • Musicians receive timeline before performance
  • Physical/digital copies are prepared
  • Team is informed and prepared
