Overview #
The automatic proposal feature generates personalized proposals the moment a lead submits their information through your funnel. Prospects can see your pricing immediately, accelerating their decision-making process. This guide explains how to configure automatic proposal creation.
Accessing Auto-Proposal Setup #
- Navigate to your group page
- Click the Marketing tab
- Select Funnel Setup
- Go to Step 4: Automatic Proposal Creation
Enabling Auto-Proposals #
To enable automatic proposal creation:
- Toggle on Automatically create proposal when lead submits
- Select which products to include in proposals
- Configure event-type specific products (optional)
- Save your settings
Selecting Products #
Default Products (All Event Types) #
Select products that apply to all event types. These products will be included in every auto-generated proposal.
Event-Type Specific Products #
Configure different products based on the event type selected by the lead:
- Wedding: Ceremony package, Reception package, Cocktail hour
- Corporate: Background music, Presentations, Networking event
- Private Party: Party package, DJ services
If a lead selects an event type with specific products, those are used. Otherwise, the default products are used.
How Auto-Proposals Work #
When a lead submits their information:
- BookLive creates a client record
- A proposal is generated with your selected products
- Each product becomes a separate package in the proposal
- The proposal is associated with the client and inquiry
- If the venue is far from your location, travel fees are calculated and added
Travel Fee Calculation #
If the lead provides a venue and it is more than 30 miles from your group location:
- Distance is calculated using Google Maps
- Your mileage rate is applied (set in group settings)
- Travel fee is multiplied by the number of musicians in each package
- The travel fee is added as a line item in each package
Example: 50 miles round trip × $0.50/mile × 4 musicians = $100 travel fee
Proposal Display on Video Page #
The auto-generated proposal can be displayed to prospects on the video page:
Proposal Reveal Delay #
Configure how long after the page loads before the proposal appears. This encourages prospects to watch your video first.
- 0 seconds: Show immediately
- 30-60 seconds: After initial video engagement
- 5+ minutes: After substantial video watching
What Prospects See #
The proposal display shows:
- Package names and descriptions
- Pricing for each package
- Travel fees (if applicable)
- Option to email the proposal to themselves
Sending the Proposal Email #
Prospects can request the proposal be sent to their email from the video page. When they click the send button:
- The proposal email is sent to the client email
- The proposal is marked as sent
- A client activity is recorded
This gives prospects a copy they can review later and share with others involved in the decision.
Proposal Details #
Auto-generated proposals include:
- Name: Event Type Proposal for Client Name
- Date: The event date from the lead form
- Venue: If provided on the lead form
- City/State: Extracted from the venue
- Packages: One per selected product
Product Setup Tips #
For best results with auto-proposals:
Create Clear Product Names #
Use names that prospects understand:
- Good: 4-Hour Reception Package
- Poor: Package A
Include Descriptions #
Product descriptions appear in proposals. Write compelling descriptions that explain what is included.
Set Accurate Pricing #
Ensure product prices are current. Auto-proposals use the prices set on your products.
Configure Musician Counts #
Set the musician count on each product. This affects travel fee calculations.
Best Practices #
Keep Options Simple #
Do not overwhelm prospects with too many packages. 2-4 options is usually ideal.
Include a Range of Price Points #
Offer good-better-best options so prospects can choose based on budget.
Follow Up Promptly #
Even with auto-proposals, personal follow-up increases conversion. Use workflows to automate initial follow-up.

Troubleshooting #
Proposals Not Being Created #
- Verify auto-proposal is toggled on
- Check that products are selected
- Ensure you have products created in your group

- Verify your group has city and state set
- Check that the lead provided a venue
