Automating Partner Outreach with Workflows

Partnership Workflows let you enroll partner contacts in automated email sequences. Use them for welcome sequences, follow-ups, and nurturing partnerships over time.

How Partnership Workflows Work #

Partnership workflows are automated email sequences that:

  • Send emails from your partnership inbox address
  • Use partnership-specific personalization
  • Track enrollment per contact
  • Maintain email threading for consistent conversations

Triggering a Workflow #

To enroll a partner contact in a workflow:

  1. Open the partnership in your Gig Vault
  2. Go to the Inbox tab
  3. Click Trigger Workflow
  4. Select an active workflow from the list
  5. Choose which contact to enroll
  6. Confirm to start the workflow

Requirements #

Before triggering a workflow:

  • The workflow must be active (not draft or paused)
  • The contact must have an email address
  • The contact cannot already be enrolled in the same workflow

Partnership Placeholders #

Use these placeholders in your workflow email templates for personalization:

Partner Information #

  • [partner_name] – Venue or planner name
  • [partner_city] – Partner’s city
  • [partner_state] – Partner’s state
  • [partner_phone] – Partner’s phone number
  • [partner_url] – Partner’s website
  • [partner_address] – Full formatted address

Contact Information #

  • [contact_name] – Contact’s full name
  • [first_name] – Contact’s first name
  • [contact_email] – Contact’s email
  • [contact_title] – Contact’s job title

Partnership Details #

  • [partnership_status] – Current status (Lead, Engaged, etc.)
  • [group_name] – Your group name

Welcome Sequence #

After adding a new partnership, trigger a welcome workflow to introduce your services and build the relationship.

For partnerships that have gone quiet, trigger a re-engagement workflow to reconnect.

Email Threading #

Workflow emails are sent from your partnership inbox address, so:

  • Replies come back to your partnership inbox
  • Conversations stay organized in threads

Preventing Duplicates #

Each contact can only be enrolled once per workflow per partnership. This prevents accidentally sending duplicate sequences.
