BookLive Dashboard Overview – Understanding Your Home Screen

Your BookLive dashboard is mission control for your music business. This guide will help you understand what you see when you log in and how to navigate the most important features quickly.

Think of the dashboard as your personalized command center – it shows upcoming gigs, performance statistics, tasks, and quick access to everything you need.


Accessing Your Dashboard #

First Login #

When you log into BookLive at https://booklive.com, you’ll see:

  • Welcome message (if first time)
  • Onboarding prompt (if not completed)
  • Or your full dashboard (if set up)

What Determines Your View #

Your dashboard adapts based on:

  • User role – Artist, bandleader, venue owner
  • Groups – How many groups you lead or belong to
  • Onboarding status – Completed or in progress
  • Subscription level – Free, Pro, Enterprise

💡 Tip: Most users see the “Artist/Bandleader” dashboard layout.


Dashboard Sections Explained #

1. Top Navigation Bar #

Left Side:

  • BookLive Logo – Click to return to dashboard from anywhere
  • Main Menu – Access all major sections

Right Side:

  • Search – Find performances, clients, venues
  • Notifications Bell – New messages, requests, updates
  • User Menu – Settings, profile, logout

2. Stats Banner #

This is your at-a-glance performance summary.

Two Tabs: “Gigs I’m Playing” vs “Gigs I Manage” #

Gigs I’m Playing:
Shows performances where YOU are assigned as a musician.

Displays:

  • Week to Date (WTD) – Gigs and earnings this week
  • Month to Date (MTD) – This month’s activity
  • Year to Date (YTD) – This year’s totals
  • Lifetime – All-time stats

Example:

This Week: 2 gigs | $600
This Month: 8 gigs | $3,200
This Year: 45 gigs | $18,500

Gigs I Manage:
Shows performances from groups you lead.

Displays same metrics (WTD/MTD/YTD) but for:

  • Gigs your groups booked
  • Revenue your groups earned
  • Only counts confirmed bookings (green status)

Toggle Between Views:

  • Click “Gigs I’m Playing” or “Gigs I Manage” tabs
  • Stats update instantly
  • Chart below updates to match

6-Month Trend Chart #

Below the stats, you’ll see a bar or line chart showing:

  • Bookings per month (last 6 months)
  • Revenue per month
  • Trends up or down

💡 Tip: Use this to identify busy seasons and plan your marketing accordingly.


3. Groups Section #

What You’ll See:

  • All groups you lead (with leader role)
  • Groups you’re a member of
  • Each group shows:

– Cover photo
– Group name
– Member count (visual avatars)

Quick Actions:

  • Click group name → Go to group page
  • Click “+ Create Group” → Start new group onboarding

Why It Matters:

  • Quick access to each group’s tools
  • See all your musical projects at a glance
  • Switch between groups easily

4. Calendar View #

What You’ll See:

  • Month or week view calendar
  • Colored dots or blocks for performances
  • Today highlighted

Performance Colors:

  • Gray – Draft/unconfirmed
  • Yellow – Pending action (proposal sent, contract unsigned)
  • Green – Confirmed and ready
  • Red – Issue or canceled
  • Blue – Completed

How to Use:

  1. Click any date to see performances that day
  2. Click performance to view details
  3. Drag to reschedule (be careful!)
  4. Navigate months with arrows

Calendar Filters:

  • All performances
  • Just playing (as musician)
  • Just managing (as leader)
  • By group
  • By status

5. Upcoming Performances List #

Right below or beside the calendar, you’ll see your next 3-5 upcoming performances.

For Each Performance:

  • Event title
  • Venue name
  • Date and time
  • “In X days” countdown
  • Colored status indicator

Quick Actions:

  • Click to view full details
  • See if it’s postponed (red “POSTPONED” label)

Why It’s Useful:

  • Don’t miss upcoming gigs
  • Quick reference for next few weeks
  • Spot conflicts or double bookings

6. Tasks Section #

Your task list shows action items that need attention.

Task Types:

  • Performance Tasks – Timeline items, setlist preparation
  • Client Tasks – Follow-ups, contract signing reminders
  • Partnership Tasks – Collaboration items
  • Payment Tasks – Invoices to send, payments to collect

Task Information:

  • Task description
  • Due date (if applicable)
  • Associated performance or client
  • Priority indicator

How to Use:

  1. Review daily to stay on top of responsibilities
  2. Click task to go to related item
  3. Mark complete when done
  4. Tasks auto-create based on performance timeline

7. Quick Action Buttons #

Scattered around the dashboard, you’ll find these shortcuts:

  • + New Performance – Create a gig
  • + New Proposal – Send a quote to potential client
  • + Create Group – Start a new musical project
  • View All Performances – Go to full performance list
  • View All Clients – Access your CRM
  • View All Venues – Browse your venue database

These save clicks and speed up common workflows.


Customizing Your Dashboard #

Preferences You Can Set #

  1. Default View

– Settings → Dashboard → Default Tab
– Choose “Gigs I’m Playing” or “Gigs I Manage”

  1. Calendar Default

– Settings → Dashboard → Calendar View
– Month, week, or agenda view

  1. Stats Period

– Some dashboards let you customize date ranges
– Default is usually WTD/MTD/YTD

– Drag widgets to rearrange (some versions)

  3. Check outstanding invoices
  4. Follow up on pending proposals

Troubleshooting Dashboard Issues #

❓ Dashboard is Blank or Empty #

Possible Causes:

  • Haven’t created any performances yet
  • Still in onboarding
  • Filter applied that’s hiding everything

Solutions:

  1. Complete group onboarding
  2. Create your first performance
  3. Check calendar filters (remove all filters)
  4. Refresh the page (Ctrl+R or Cmd+R)

❓ Stats Show $0 or Zero Gigs #

Why:

  • No performances created yet
  • Performances created but not marked as confirmed
  • Filtering by wrong group
  • Looking at wrong time period

Solutions:

  1. Create and confirm performances
  2. Ensure performances have status_color = 'green'
  3. Check that you’re viewing the right tab (Playing vs Managing)
  4. Verify date filter includes the right timeframe

❓ Calendar Not Showing My Performances #

Common Issues:

  • Performances are outside current month view
  • Filtered to different group
  • Private performances hidden
  • Browser cache issue

Solutions:

  1. Navigate to the month of your performances
  2. Clear all filters (“All Performances”)
  3. Check “Show Private Performances” if applicable
  4. Clear browser cache and reload

❓ Upcoming List Shows Wrong Performances #

Why It Happens:

  • Looking at wrong group
  • Date range filter applied
  • Sorting issue

Solutions:

  1. Select “All Groups” in filter
  2. Remove date filters
  3. Refresh the page
  4. Check that system time/timezone is correct

Dashboard Tips for Different User Types #

For Solo Artists #
