When a workflow sends an email to a client, there are often other people involved in the event — a wedding planner, an event coordinator, or a family member — who should be kept in the loop. The CC Performance Collaborators option on workflow email steps lets you automatically include those contacts as CC recipients every time that email fires, without any manual effort.
What Are Performance Collaborators? #
Collaborators are additional contacts you’ve added to a performance record — think of the bride and groom, a venue coordinator, or a corporate assistant. They’re added directly on the performance page and are typically people who need visibility into the event without being the primary client.
When you enable CC Performance Collaborators on a workflow email step, BookLive automatically looks up all collaborators associated with the enrolled performance and adds their email addresses to the CC field of that outgoing email.
Before You Begin #
- You must have at least one collaborator added to the performance before the workflow email fires. If no collaborators are on file, the CC field is simply left empty — no errors occur.
- This option is only available on Email steps in a workflow and only applies when the enrollment context is a performance (not a partnership or proposal).
- Collaborators without an email address on file are skipped automatically.
Step 1: Open Your Workflow #
- Go to Marketing in the left sidebar and click Workflows.
- Click the workflow you want to edit, then click Edit to open the workflow editor.
Step 2: Open or Add an Email Step #
- Click an existing Email step to open its settings, or click Add Step and choose Email as the step type.
- Select or create the email template you want to use for this step.
Step 3: Enable CC Performance Collaborators #
- Scroll down within the email step settings until you see the checkbox labeled CC performance collaborators (e.g., Bride & Groom).
- Check the box to enable it.
- Click Save on the step, then save the workflow.
That’s all it takes. From this point forward, every time this email step fires as part of a performance enrollment, BookLive will automatically CC all collaborators with a valid email address on the performance record.
How It Works at Send Time #
When the workflow reaches this email step for an active enrollment:
- BookLive fetches all collaborators associated with the enrolled performance.
- Collaborators without an email address are skipped.
- The primary recipient’s email is excluded from the CC list to avoid duplicates.
- All remaining collaborator emails are added to the CC field of the outgoing email.
The collaborators receive the same email the client receives. They cannot unsubscribe from the CC (it’s a direct CC, not a marketing opt-in), so use this option thoughtfully — it’s best suited for operational or logistics emails rather than promotional sequences.
Tips & Notes #
- Add collaborators before the step fires. If you add a collaborator to a performance after the email step has already run for that enrollment, they will not be retroactively CC’d.
- Works per-step, not per-workflow. Each email step has its own CC collaborators checkbox. You can enable it on some steps and leave it off on others — useful if only certain emails in a sequence are relevant to all parties.
- Communications Manager is separate. If your group has a Communications Manager set up, their CC behavior is controlled by a different setting. The CC collaborators checkbox applies only to performance collaborators.
- No impact on non-performance enrollments. If the same workflow is ever enrolled against a partnership or proposal context, the CC collaborators option is ignored — collaborators only exist on performances.
