The Clone Performance feature in BookLive lets you duplicate an existing performance to a new date, carrying over all the details you’ve already configured — including your personnel lineup, services, discounts, and timeline. It’s the fastest way to book a repeat client or set up a similar event without starting from scratch.
Before You Begin #
- You must be the group leader or a co-leader to clone a performance.
- The source performance should be reasonably complete — the more details you’ve filled in, the more time you’ll save by cloning.
What Gets Cloned #
When you clone a performance, BookLive copies the following information to the new performance:
- Performance details — name, venue, client, event type, start and end times, attire, musician notes, hospitality info, and all other fields from the original.
- Personnel seats — every seat you’ve configured, including instrument/specialty assignments and pay rates.
- Services and discounts — all line items on the invoice template are duplicated to the new performance.
- Timeline and songs — the full timeline structure (events and their assigned songs) is copied over, so your setlist planning carries forward.
What Does Not Get Cloned #
The following are specific to the original performance and are not copied:
- Payments, invoices, and payment plans
- Contracts and addendums
- Workflow enrollments
- Smart Form submissions
- Internal notes
- Reviews
- Performance inbox emails and conversations
- Collaborators
Step 1: Open the Performance #
- Log in at https://booklive.com/login.
- Navigate to the performance you want to clone.
Step 2: Open the Actions Menu #
- In the top-right area of the performance detail view, click the three-dot menu (⋮) or the overflow actions button.
- A dropdown will appear with options including Edit, Add Collaborator, Settings, Clone, and others.
- Click Clone.
Step 3: Select the New Date #
- A dialog will appear asking you to select the Performance date for the cloned performance.
- Click the date field and choose the date you want the new performance to be scheduled for.
- Click Clone to confirm.
Step 4: Review and Update the New Performance #
BookLive will create the new performance and navigate you to it automatically. From here, you should review and update any details that differ from the original:
- Start and end times — confirm these are correct for the new date.
- Venue — update if the event is at a different location.
- Client — update if this is a new client rather than a repeat booking.
- Personnel — confirm your musician lineup or re-assign seats as needed.
- Invoice — review services and pricing; send a new invoice to the client.
- Contract — you’ll need to create and send a new contract for the cloned performance.
- Workflow enrollments — enroll the new performance in any relevant workflows manually.
Tips & Notes #
- Cloning is especially useful for recurring gigs (e.g., a monthly residency) or when a client books your group for multiple events in a season.
- The cloned performance will be created in Lead status by default, so it won’t appear as booked until you update the status.
- If you use Timeline Templates, cloning carries the songs and structure over directly — you won’t need to re-apply the template.
- Musician seat assignments are cloned, but musicians are not automatically re-confirmed or notified. Send new performance requests from the Musicians tab after cloning.
