Collecting and Managing Client Reviews in BookLive

BookLive makes it easy to collect, manage, and showcase client reviews — automatically after performances or through a shareable link you can send to anyone. Reviews you collect can appear on your public profile and can even be referenced in automated workflow emails, turning happy client feedback into a booking tool.

Before You Begin #

  • You must be a group leader or manager to access review settings.
  • Log in at https://booklive.com/login and navigate to your group.

Step 1: Access Your Reviews Settings #

  1. From the left sidebar, click your group name to open your group dashboard.
  2. Click the Reviews tab (visible in your group navigation).

This page contains all the tools for collecting, approving, and managing your client reviews.

Step 2: Share Your Public Review Link #

BookLive generates a unique shareable review link for your group. Anyone — past clients, event planners, colleagues — can use it to submit a review, even if their event wasn’t managed through BookLive.

  1. At the top of the Reviews tab, you’ll see your public review link displayed in a text field.
  2. Click Copy Link to copy it to your clipboard.
  3. Share the link via email, text, or social media to start collecting reviews immediately.

When someone visits your review link, they’ll fill out a short form including their name, email, their relationship to your group (event planner, wedding guest, colleague, etc.), a star rating, and a written review.

Step 3: Enable Auto-Collect Reviews #

BookLive can automatically send a review request to your client after each performance — no manual follow-up required.

  1. On the Reviews tab, toggle on Auto-Collect Reviews.
  2. Once enabled, BookLive will send your client a review request when a performance is completed.
  3. If the client rates you 4 stars or higher, BookLive will also prompt them to post their review on your connected public review sites (such as WeddingWire, GigSalad, or Google).

This is the most hands-off way to build your review profile over time.

Step 4: Add Public Review Sites #

When a client leaves a high rating, BookLive can encourage them to also post on your external review platforms. To set this up:

  1. On the Reviews tab, click Add a Review Site.
  2. Enter the Review Site Name (e.g., “WeddingWire”) and the direct URL to your review page on that platform.
  3. Click Save.

You can add as many review sites as you’d like. These links will appear as “Leave a Review” buttons for clients who gave you 4 or more stars.

Step 5: Approve Incoming Reviews #

All public-submitted reviews arrive in a Pending Approval queue. You must approve a review before it appears on your public profile.

  1. On the Reviews tab, scroll down to the Pending Approval section.
  2. Read each review. Click Approve to make it visible on your profile, or Delete to remove it entirely.

Once approved, a review moves to the Approved Reviews section. You can also Hide an approved review at any time to remove it from your public profile without deleting it.

Step 6: Track Reviews on Individual Performances #

Each performance in BookLive has its own Client Review section for tracking the review attached to that specific gig. This is useful for storing reviews from Google, Yelp, The Knot, WeddingWire, Facebook, or any other platform alongside the performance record.

  1. Open the performance you want to add a review to.
  2. Navigate to the Client Review tab within the performance.
  3. Click Add Review.
  4. Select the Review Source (Google, Yelp, The Knot, WeddingWire, Facebook, or Other).
  5. Fill in the reviewer’s name, the review text, an optional star rating, date received, and the URL of the original review (if applicable).
  6. Click Add Review to save.

Using Reviews in Workflow Emails #

Once a review is attached to a performance, you can reference it in your automated workflow emails using template variables:

  • [review_text] — Inserts the full review body
  • [reviewer_name] — Inserts the reviewer’s name

For example, a follow-up email could say: “Here’s what your guests are saying: ‘[review_text]’ — {{ reviewer_name }}”

This turns real client feedback into social proof that’s delivered automatically in your post-event or lead nurturing sequences. To learn more about workflows, see Getting Started with Automated Workflows.

Tips & Notes #

  • Reviews submitted through the public link or auto-collect always require your approval before going live.
  • Reviews added manually to a performance record (from external platforms) are stored for your reference and workflow use — they are not automatically displayed on your public profile.
  • You’ll receive an email notification whenever a new review is submitted.
  • Clients who rate you 3 stars or below will not be prompted to leave a review on your external sites, protecting your public reputation.
