Overview #
Connect your Google Calendar to BookLive to automatically sync your performances. When connected, new performances appear on your Google Calendar with all the important details – venue, address, times, and notes. You will never double-book yourself again.

Connecting Your Google Calendar #
Step-by-Step Connection #
- Go to your Settings
- Click on the Google Calendar tab
- Click Connect Google Calendar
- A Google sign-in window will open
- Select the Google account you want to use
- Review the permissions BookLive is requesting
- Click Allow to grant access
- You will be redirected back to BookLive
- Your calendar is now connected!
Permissions Explained #
BookLive requests permission to:
- Create events: Add performance events to your calendar
- Update events: Modify events when performance details change
- Delete events: Remove events if performances are cancelled
BookLive does NOT read your existing calendar events or access other Google data.
What Gets Synced #
Main Performance Event #
- Title: Performance name and group
- Time: Start and end time of the performance
- Location: Venue name and full address
- Description: Performance notes and details
Setup Time Block (Optional) #
- Separate calendar event for arrival/setup
- Based on your configured setup time
- Helps you remember to arrive early
Travel Time Block (Optional) #
- Separate calendar event for travel
- Based on distance from your location to venue
- Helps you plan departure time
Sync Settings #
Once connected, you can configure:
Auto-Sync New Performances #
- Toggle ON: Every new performance automatically syncs
- Toggle OFF: Manually choose which performances to sync
Include Setup Time #
- Toggle ON: Create separate event for setup period
- Toggle OFF: Only sync the main performance event
Include Travel Time #
- Toggle ON: Create separate event for travel
- Toggle OFF: No travel block created
Viewing Synced Events #
Synced performances appear on your Google Calendar with:
- Color coding (if configured)
- Clickable venue address for directions
- Full event details in the description
When Events Update #
Calendar events automatically update when:
- Performance date or time changes
- Venue is changed
- Performance is cancelled
- Notes are updated
Disconnecting Google Calendar #
To disconnect:
- Go to Settings > Google Calendar
- Click Disconnect
- Confirm the disconnection
Note: Existing events remain on your Google Calendar but will no longer update automatically.
Troubleshooting #
Events are not appearing on my calendar #
- Check that auto-sync is enabled in settings
- Verify your Google Calendar is connected (check settings page)
- New events may take a few minutes to appear
- Check if you are viewing the correct calendar in Google
Event details are outdated #
- Changes should sync automatically
- Force a sync from the performance detail page
- Check your internet connection
Connection was lost #
- Go to Settings > Google Calendar
- Click Reconnect
- Complete the authorization flow again
Best Practices #
- Use your primary calendar – Connect the calendar you check most often
- Enable auto-sync – Never miss adding a performance to your calendar
- Include travel time – Helps you plan departures accurately
- Check sync status – Verify events appear after booking
