Connecting Workflows to Your Funnel

Overview #

By connecting an automated workflow to your Virtual Showcase Video Funnel, you can automatically nurture new leads with email sequences. When a lead submits their information, they are enrolled in your workflow and begin receiving your carefully crafted emails – no manual intervention required.

Accessing Workflow Integration #

  1. Navigate to your group page
  2. Click the Marketing tab
  3. Select Funnel Setup
  4. Go to Step 4: Automatic Proposal Creation
  5. Find the Workflow selection field

Prerequisites #

Before connecting a workflow to your funnel:

  1. Create a workflow: Build your lead nurturing email sequence in Settings → Workflows
  2. Set workflow to Active: Only active workflows appear in the funnel dropdown
  3. Design for funnel leads: Ensure your workflow content is appropriate for new funnel leads

Selecting a Workflow #

  1. In Step 4 of Funnel Setup, find the Workflow dropdown
  2. Select the workflow you want to connect
  3. Save your funnel settings

Only workflows that are set to Active status will appear in the dropdown.

How It Works #

When a prospect submits their information through your lead capture page:

  1. A client record is created
  2. A proposal is created (if auto-proposal is enabled)
  3. The client is enrolled in your selected workflow
  4. Workflow emails begin according to your configured timing

Design your funnel workflow to nurture leads toward booking a call:

Include Your Proposal Link #

If auto-proposals are enabled, include a link to the proposal in your workflow emails. Use the proposal merge tag to insert the link dynamically.

Keep the Video Page Accessible #

Some leads may want to rewatch your video. Include the video page link in early emails.

End with a Clear Call to Action #

Every email should make it easy for leads to book a call. Include your calendar booking link prominently.

Setting Workflow Goals #

Consider adding goals to your funnel workflow:

  • Proposal Accepted: End the nurture sequence when they accept
  • Contract Signed: Stop emails once they have signed

Goals prevent continuing to nurture leads who have already converted.

Enrollment Details #

When enrolling from the funnel:

  • Recipient: The client created from the lead form
  • Context: The proposal (if created) or the lead inquiry
  • Status: Active (begins immediately)

Duplicate Prevention #

The system checks for existing enrollments before creating new ones. If a client is already enrolled in the workflow with the same proposal context, they will not be enrolled again.

Monitoring Enrollments #

To see funnel lead enrollments:

  1. Go to Settings → Workflows
  2. Select your funnel workflow
  3. Click the Enrollments tab
  4. Filter by date range to see recent funnel leads

Troubleshooting #

Workflow Not Appearing in Dropdown #

  • Verify the workflow exists in Settings → Workflows
  • Check that the workflow status is set to Active
  • Ensure the workflow belongs to the same group as the funnel

Leads Not Getting Enrolled #

  • Check that a workflow is selected in funnel settings
  • Verify the workflow is still Active (not paused or archived)
  • Check the workflow enrollment list for the specific lead

Wrong Emails Being Sent #

  • Review the workflow steps and content
  • Check that merge tags are configured correctly
  • Verify email templates are up to date

Best Practices #

Create a Dedicated Funnel Workflow #

Build a workflow specifically for funnel leads. Their context is different from other leads – they have already watched your video and may have seen a proposal.

Acknowledge the Funnel Journey #

Reference that they watched your video in your emails. This creates continuity and shows you understand their journey.

Vary Email Frequency #

Start with closer spacing (1-2 days) while interest is high, then space out later emails (3-5 days).

Test Before Going Live #

  1. Submit a test lead through your funnel
  2. Verify the workflow enrollment was created
  3. Check that the first email was sent (or scheduled)
  4. Monitor subsequent emails as they send
