Creating and Sharing Booking Links in BookLive

Booking Links let clients book your group and pay a deposit instantly — no proposal, no back-and-forth. You create a Package (a flat-rate service offering), copy its unique Booking Link, and share it anywhere: your website, social media, email signature, or Gig Vault outreach. When a client clicks and pays, BookLive automatically creates a performance and notifies you so you can accept or decline.

Before You Begin #

  • Your group must have Stripe connected to accept payments through Booking Links. Go to Finances in your group dashboard and click Connect with Stripe if you haven’t already.
  • You’ll need to know your flat rate price and preferred deposit amount for the service you want to offer.

Step 1: Navigate to Finances #

  1. Log in at https://booklive.com/login.
  2. Select your group from the top navigation.
  3. In the left sidebar, click Finances.

Step 2: Create a Package #

Packages are the foundation of Booking Links. Each package represents a specific service offering (e.g., “String Quartet – 2 Hours” or “Jazz Duo for Corporate Cocktail Hour”).

  1. Under the Packages section, click the + button in the top-right corner of the panel.
  2. In the dialog that appears, fill in the following fields:
    • Service Name — A clear, client-facing name (e.g., “String Quartet for 1 Hour”).
    • Description — Optional. A short summary of what’s included.
    • Price — The full price for the service.
    • Deposit Amount — The amount clients will pay at booking (typically 25–50% of the total).
    • Musician Count — How many musicians are included in this package.
  3. Click Save. Your new package will appear in the Packages table.

Step 3: Add Offer Items (Optional) #

Offer Items are line-item details shown on the client-facing booking page. They help clients understand exactly what they’re getting and can increase the perceived value of your package.

  1. In the Packages table, click the name of the package you just created.
  2. On the package detail page, click the + button under the Offer Items section.
  3. For each item, enter a Name (e.g., “2 Hours of Live Music,” “Professional Sound System,” “MC Services”) and a Value.
  4. Click Save. The total value of all offer items will display on the booking page, making your package look compelling even if the actual price is lower.

Step 4: Copy and Share Your Booking Link #

  1. Go back to FinancesPackages.
  2. In the Booking Link column next to your package, click the copy icon.
  3. Your unique Booking Link is now on your clipboard. It follows the format: https://booklive.com/groups/[your-group-url]/[package-slug].
  4. Share this link anywhere you want clients to be able to self-book:
    • Your website or performing site
    • Social media bios and posts
    • Email signatures
    • Gig Vault outreach messages to venues
    • Funnel lead capture pages

Step 5: What Clients Experience #

When a client clicks your Booking Link, they land on a professional booking page showing your package name, offer items, total value, and the deposit amount they’ll pay today. They fill in their event details (name, email, event date, venue), enter their payment information, and submit. BookLive charges the deposit and sends them a confirmation email.

Step 6: Review and Respond to Package Orders #

Every Booking Link submission creates a Package Order in BookLive along with a new performance record. To manage incoming orders:

  1. Go to Finances → click Package Orders (or navigate to the Orders tab in your group dashboard).
  2. Pending orders are listed with the client name, event date, venue, and package name.
  3. Click View Detail on any order to see the full submission.
  4. To confirm the booking, click Accept. The client receives a confirmation email and the performance moves forward in BookLive.
  5. If you’re unavailable or the booking isn’t a fit, click Decline. The client is notified.

Tips & Notes #

  • Multiple packages: Create as many packages as you need — one for each service tier or ensemble size. Each gets its own unique Booking Link.
  • Deposit vs. full payment: Clients can choose to pay the deposit amount or the full balance at checkout, depending on your settings.
  • No duplicate risk: Each accepted order auto-creates a performance in BookLive, so you don’t have to enter it manually.
  • Editing packages: You can edit a package’s name, price, and deposit at any time from the Finances page. Changes affect future bookings only — existing orders are unaffected.
