Customizing the Client Portal for a Performance in BookLive

The Client Portal gives your clients a secure, branded window into their event — they can view performance details, make payments, sign contracts, browse your song library, and more. BookLive lets you customize the portal experience for each performance, including sharing access, sending email invitations, and personalizing the portal’s header image. This article covers all three areas.

Before You Begin #

  • You must have a performance created in BookLive.
  • To send a portal invitation by email, you need a client or collaborator attached to the performance.
  • To choose a custom header image, you’ll need at least one photo in your group’s media library.

Step 1: Open Client Portal Settings #

  1. Log in at https://booklive.com/login.
  2. Navigate to the performance you want to configure.
  3. Click the Settings tab on the performance detail page.
  4. Scroll to the Client Portal section (or look for the dedicated Client Portal tab, depending on your view).

You’ll see two main sections: Client Portal Access and Portal Appearance.

Step 2: Share the Client Portal Link #

Each performance has a unique, secure client portal URL. You can share this link directly — no login required for your client.

  1. In the Client Portal Access section, locate the portal link field.
  2. Click the copy icon at the right edge of the link field to copy it to your clipboard.
  3. Paste and share the link via text, email, or any channel you prefer.
  4. To see exactly what your client will see, click Preview Portal — this opens the portal in a new browser tab.

Step 3: Send a Portal Invitation Email #

You can send a personalized invitation email directly from BookLive to your client and any collaborators on the performance.

  1. Click the Send Portal Invitation button.
    • If no client or collaborator is attached to the performance, this button will be disabled. Add a client first, then return here.
  2. An invitation dialog will open, pre-populated with all recipient email addresses from the client record and any collaborators.
  3. Remove any recipients you don’t want to notify by clicking the × on their email chip.
  4. Type your custom message in the Message field, or leave it blank to send a default invitation.
  5. Click Send Invitation.

After sending, BookLive will display a results summary showing which addresses were delivered successfully and which (if any) failed, along with a reason. You can click Send Another to send a follow-up without closing the dialog.

Step 4: Customize the Portal Header Image #

By default, the client portal uses your group’s cover photo as the header image at the top of the page. You can override this on a per-performance basis to match the client’s event aesthetic.

  1. In the Portal Appearance section, you’ll see a preview of the current header image with a label indicating whether it’s a custom image, your group cover photo, or the default background.
  2. Click Choose from Library to open the image selector.
  3. Browse your group’s media library. Click any image to select it — a blue checkmark will appear on the selected image.
  4. Click Apply Selection to save the change. The header preview updates immediately.

Tips & Notes #

  • Reset to default: If you’ve set a custom header image and want to go back to the group cover photo, click Reset to Default in the Image Settings panel.
  • Empty library: If your group has no photos uploaded, the image selector will show an empty state. Upload images to your group’s media library first, then return here to select one.
  • Portal link security: The portal link is tied to a unique, non-guessable URL. You don’t need to set a password — clients simply use the link to access their portal.
  • Collaborators: Any collaborators you’ve added to the performance (via the Inbox or Collaborators settings) will appear as invitation recipients alongside the primary client.
