BookLive automatically sends a number of scheduled emails to your clients throughout the life of a performance — contract reminders, payment reminders, playlist and timeline due dates, post-performance surveys, and more. In most cases these are exactly what you want. But sometimes they aren’t: surprise performances, clients who’ve asked to receive communications only through you directly, or situations where you just need to pause the automated touchpoints for a specific booking.
The Email Settings card on a client record gives you a single toggle to disable all of these automated emails for that client — without touching your group-wide notification settings or any other clients.
What “Disable System Emails” Turns Off #
When system emails are disabled for a client, BookLive will skip the following automated messages for any performances linked to that client:
- Contract reminder emails
- Payment and invoice reminder emails
- Playlist due reminder (sent one week before the playlist due date)
- Playlist overdue reminder
- Timeline due reminder (sent one week before the timeline due date)
- Timeline overdue reminder
- Post-performance survey email
- Questionnaire due and overdue reminders
- Client chat email notifications
Emails you send manually from the performance inbox are not affected — this setting only suppresses automated system-generated messages. Workflow emails are also sent separately and are not blocked by this toggle.
Before You Begin #
- You must be a group leader or co-leader to change a client’s email settings.
- This setting is per-client. Changing it for one client has no effect on any other client.
Step 1: Open the Client Record #
- Log in at https://booklive.com/login.
- Click Clients in the left sidebar.
- Click the name of the client you want to update.
Step 2: Locate the Email Settings Card #
On the client detail page, scroll down the right-hand column. You’ll find an Email Settings card below the Sales Cadence card and above the Tags card.
By default, the toggle reads System emails enabled and is shown in blue.
Step 3: Disable System Emails #
- Click the toggle in the Email Settings card.
- The toggle switches to System emails disabled and turns red.
- A warning box appears confirming which automated messages will be suppressed.
The change saves automatically — no additional button click is required. BookLive also logs the change to the client’s activity history so there’s a record of when the setting was changed.
Step 4: Re-enable System Emails #
To turn automated emails back on, click the toggle again. It will return to System emails enabled (blue) and save immediately. Future automated emails will resume according to their normal schedule from that point forward — emails that were already skipped while the setting was off will not be retroactively sent.
Tips & Notes #
- Surprise performances: This is the most common use case. If you’re booking a surprise birthday or anniversary performance, disabling system emails prevents any automated message from accidentally alerting the client before the event.
- Manual emails still work: You can still send emails to the client from the performance inbox or from the client record at any time. Only automated system messages are suppressed.
- Workflow emails are not affected: Automated workflow steps (such as follow-up sequences) run independently of this setting. If you also want to pause those, cancel or pause the relevant workflow enrollment from the client’s Workflows tab.
- Activity log: You can review when this setting was last toggled by opening the Activities tab on the client record and looking for the “System emails disabled” or “System emails enabled” entry.
