When your group leader has uploaded sheet music or charts for the songs on a performance timeline, BookLive can combine all of your assigned parts into a single, ready-to-print PDF — your Full Part Book. This saves you from downloading each chart individually and gives you one organized file to bring to rehearsal or the gig.
Before You Begin #
- You must be a booked musician with an assigned seat on the performance.
- The group leader must have uploaded PDF sheet music (scores) for your part to the songs on the timeline.
- You need to be logged in to booklive.com/login to access your production sheet.
Step 1: Open Your Production Sheet #
Navigate to the performance from your dashboard and open the Production Sheet tab, or follow the production sheet link your group leader sent you. You’ll see the gig overview, your seat assignment, and the full setlist.
Step 2: Click “Download Full Part Book” #
In the toolbar at the top of the production sheet, click the Download Full Part Book button (it shows a PDF icon). This button is only visible when you are logged in and have an assigned seat on the performance.
Step 3: Wait for the Build to Complete #
BookLive queues a background job to assemble your charts. While it’s working, the button changes to Building part book… and a progress note appears below the toolbar:
Building your consolidated PDF… we’ll start the download as soon as it’s ready. This can take a moment for a full gig.
For shorter setlists this usually completes in a few seconds. For large performances with many songs, it may take slightly longer.
Step 4: Download the PDF #
Once the build is finished, your browser will automatically start the download. The PDF includes:
- A cover page with the performance name, date, venue, and your part name
- Every chart assigned to your part, in timeline/setlist order
You Don’t Have to Stay on the Page #
If you navigate away or close the tab before the build finishes, BookLive will email you a download link when your part book is ready. The link is valid for 14 days, so you can grab it at your convenience.
Re-Downloading and Caching #
Once a part book has been built, BookLive caches it. If you click Download Full Part Book again and the setlist hasn’t changed, the download starts instantly — no rebuild needed. If the group leader adds or swaps songs after you’ve downloaded, clicking the button again will detect the change and queue a fresh build automatically.
Tips & Notes #
- If you see “Sorry, we couldn’t build your part book. Please try again.”, click the button once more. If it fails repeatedly, let your group leader know so they can check that all scores are properly attached to the songs.
- Only PDF-format scores are included in the part book. Image-based or external-link scores are not merged.
- The Print button (also in the toolbar) prints the production sheet itself — this is separate from the downloadable part book PDF.
- The part book includes charts for your specific part only. Other musicians on different parts will receive a part book for their own assignments.
