As your business grows, so does your list of performances. BookLive gives you powerful search and filter tools so you can quickly find any gig — whether you’re looking for a specific client’s event, reviewing all upcoming bookings, or pulling up last year’s cancelled leads. This article walks you through every way to search and filter your performance list.
Accessing Your Performance List #
- Log in at https://booklive.com/login.
- Click Performances in the left sidebar. Your full list of performances appears, sorted by date (most recent upcoming events first by default).
Searching by Keyword #
Use the Search bar at the top of the performance list to find a specific event instantly. You can search by:
- Client name — e.g., “Smith Wedding”
- Venue name — e.g., “Grand Hyatt”
- Performance name or notes — any keyword you included when creating the gig
Results update as you type. Clear the search bar to return to the full list.
Filtering by Status #
Every performance in BookLive has a status that reflects where it is in your booking workflow. To filter by status:
- Click the Status dropdown above the performance list.
- Select one or more statuses to show:
- Lead — Inquiries or tentative holds not yet confirmed (shown in red on your calendar)
- Booked — Confirmed performances with a signed contract or deposit (shown in green)
- Postponed — Events that have been moved to a future date (shown in yellow)
- Cancelled — Events that were cancelled and flagged accordingly
Filtering to Lead is especially useful for following up on open inquiries. Filtering to Booked gives you a clean view of confirmed upcoming revenue.
Filtering by Date Range #
To view performances within a specific time window:
- Click the Date Range filter.
- Set a Start Date and End Date using the date picker.
- The list updates to show only performances with an event date within that window.
This is useful for end-of-year reporting, reviewing a specific quarter’s bookings, or planning ahead for a busy season.
Sorting Your Performance List #
Click any column header to sort by that field. Common sort options include:
- Event Date — Sort ascending (soonest first) or descending (furthest out first)
- Client Name — Alphabetical order, useful when looking for a specific client
- Total Value — Highest-value gigs at the top, helpful for financial reviews
- Created Date — See your most recently added performances
Click the same column header again to reverse the sort direction.
Combining Filters #
Filters stack — you can use multiple at once. For example:
- Status: Lead + Date Range: next 60 days → Shows all open inquiries you need to follow up on
- Status: Booked + Date Range: this month → Your confirmed performances for the current month
- Keyword: “corporate” + Status: Booked → All confirmed corporate events
To reset all filters at once, click the Clear Filters button (if shown) or refresh the page.
Tips & Notes #
- Filters are not saved between sessions — they reset each time you navigate away from the Performances page.
- If you’re looking for performances assigned to a specific musician, use the Personnel section and view that artist’s schedule instead.
- For financial filtering and revenue summaries across performances, use the Finances section in the left sidebar.
