Timeline finalization is the process of locking your performance timeline to prevent accidental or unauthorized changes.
What Gets Locked #
When you finalize a timeline:

Recommended Timeline #
Ideal Finalization Window:
- 7-14 days before performance for most events
- Earlier for complex performances
- Later for casual/flexible events
Decision Criteria #
Finalize When:

- ✅ All (or most) songs have been selected for each segment
- ✅ Client has approved timeline structure and timing

Wait to Finalize If:
- ❌ Client hasn’t reviewed timeline yet
- ❌ Venue timing is not yet confirmed
- ❌ Major event details are still being negotiated
- ❌ More than 2 weeks before performance (too early)

Example: Performance on Saturday, November 15
Week 4 (October 18-24):
- Create initial timeline
- Status: Draft
Week 3 (October 25-31):
- Populate with songs
- Send to client for review
- Status: In Review
Week 2 (November 1-7):
- Client approves
- Make final adjustments
- Status: Nearly Ready
Week 1 (November 8-14):

How to Finalize a Timeline #
Step 1: Prepare for Finalization #
Before clicking “Finalize,” confirm:
Timeline Checklist:

- [ ] All events have accurate start times and durations
- [ ] Timeline events in correct chronological order
- [ ] Client has approved timeline structure

- [ ] Timeline shared with client (if applicable)

Step 2: Navigate to Timeline #
- Log in to BookLive
- Go to Performances or Calendar
- Click on the performance
- Go to the Timeline tab
You’ll see:
- List of all timeline events
- Song assignments for each event
- “Lock Timeline” button or toggle
Step 3: Finalize the Timeline #
- Click “Lock Timeline” button or toggle the finalization switch
- System confirms: “Timeline finalized”
- A finalization timestamp is recorded (when you finalized it)
What Happens:
Database field updated:
timeline_finalized_at = [current timestamp]
Example: 2025-11-11 14:32:15
This timestamp indicates:
- Timeline is now locked
- When it was locked
- Who locked it (your user ID)
Step 4: Verify Finalization #
After finalizing:
Visual Indicators:
- Timeline may show “Finalized” badge or status
- Edit buttons may be disabled or grayed out
- Timeline events may have a lock icon

In addition to finalization, you can set timeline due dates to track when timelines should be completed.
What Are Timeline Due Dates? #
Timeline Due Date is a deadline for when the timeline must be finalized.
Database Field: timeline_due_at
Example:
Performance: November 15, 2025
Timeline Due: November 8, 2025 (1 week before)
Meaning: Timeline must be completed and finalized by November 8
Setting a Timeline Due Date #
When creating or editing a performance:
- Look for “Timeline Due Date” field
- Select a date (typically 3-7 days before performance)
- Save performance
Automated Reminders:
BookLive may send email reminders based on due dates:
Timeline Request Email:
- Sent when timeline due date approaches
- Reminds you to complete timeline
- May be sent to clients if they need to provide input
Timeline Overdue Notification:
- Sent if timeline due date passes without finalization
- Helps you stay on track
💡 Tip: Set timeline due dates when you book the performance. This ensures timeline work is scheduled well in advance.
Timeline Request to Clients #
If your client needs to provide input on the timeline:
Email Functionality:
- System can send Timeline Request email to client
- Email says: “[Your Name] has requested your finalized event timeline”
- Includes link to Performance Portal where client can view/adjust timeline
- Client can make their changes
- You receive notification when client completes their input

Unfinalizing Timelines #
Sometimes you need to make changes after finalization. Here’s how to handle it.
When to Unfinalize #
Valid Reasons:
- Client requests significant timing change
- Venue changes event schedule
- Performance time/date changes
- Critical error discovered in timeline
- Song needs to be swapped due to musician availability
- Last-minute client request (wedding song changes, etc.)
Try to Avoid Unfinalizing For:
- Minor tweaks that don’t affect overall plan
- Personal preference changes
- Non-critical adjustments

How to Unfinalize #
Step 1: Navigate to Timeline
- Go to performance
- Click Timeline tab
- Look for the button Unlock Timeline
