Getting Started with the Gig Vault

The Gig Vault is BookLive’s built-in CRM for managing your relationships with venues, planners, and other business contacts. It helps you track partnerships, run organized outreach campaigns, and grow your booking opportunities.

What is the Gig Vault? #

The Gig Vault is your central hub for:

  • Tracking venue and planner relationships – Keep all your business contacts organized
  • Prospecting for new opportunities – Find nearby venues and planners
  • Running sales outreach – Use Sales Cadences for structured follow-up
  • Measuring performance – See booking history and revenue with each partner

Accessing the Gig Vault #

To access the Gig Vault:

  1. Go to your Group settings
  2. Click on the Partnerships or Gig Vault tab
  3. You’ll see your list of partnerships

Pro Feature #

The Gig Vault is a Pro feature. If you don’t see it in your navigation, you may need to upgrade your subscription to access partnership management tools.

Key Concepts #

Partnerships #

A partnership is a tracked relationship with a venue or planner. Each partnership includes:

  • Contact information
  • Relationship status (Lead, Engaged, Active, or Paused)
  • Notes and communication history
  • Performance history and revenue tracking
  • Tasks and follow-up reminders

Venues vs. Planners #

You can create partnerships with two types of contacts:

  • Venues – Physical locations like hotels, restaurants, bars, country clubs
  • Planners – Event planners, wedding coordinators, DMCs (Destination Management Companies)

Sales Cadences #

Sales Cadences are automated outreach workflows. They help you stay organized with multi-step follow-up sequences that include emails, calls, and tasks.

The Partnership List #

The main Gig Vault view shows all your partnerships in a list. You can:

  • Filter by status, partner type, or distance
  • Sort by name, distance, performance count, or revenue
  • Search for specific partners
  • Click any partnership to view details
