Handling Custom Song Requests from Clients

Custom song requests allow clients to request songs that may not be in your library for their upcoming performance. This feature helps you accommodate special requests while managing expectations.

How Custom Song Requests Work #

Clients can submit song requests through a public link associated with their performance. You review these requests and can approve or decline them, optionally adding approved songs to your library and invoice.

Enabling Song Requests #

To enable or disable custom song requests for your group:

  1. Go to your group settings
  2. Find the Song Requests toggle
  3. Enable or disable as needed

What Clients See #

When clients access the song request form, they can submit:

  • Song Name (required)
  • Artist Name (required)
  • YouTube Link (optional) – Helps identify the correct version

Viewing Song Requests #

To view all song requests for your group:

  1. Navigate to your group’s Song Requests section
  2. View requests organized by status: Pending, Approved, Declined
  3. Search by song name or artist
  4. Filter by status to focus on pending requests

Reviewing a Request #

Click on a request to see full details including:

  • Song and artist name
  • YouTube video (if provided)
  • When the request was submitted
  • Which performance it’s for
  • Matched resources from the master library (if available)

Approving a Request #

When approving a song request, you have several options:

  • Add to Invoice – Charge the client for the custom song with a specified price
  • Create in Library – Add the song to your group’s library for future use
  • Select Collection – Choose which music collection to add the song to

The client receives an email notification when their request is approved.

Declining a Request #

If you can’t accommodate a request:

  1. Click Decline
  2. Enter a reason (this is sent to the client)
  3. Submit the decline

Be professional and considerate in your decline reason – explain why the song can’t be performed.

Notifications #

BookLive sends email notifications at key points:

  • To you – When a client submits a new request
  • To client – When you approve their request
  • To client – When you decline their request (with your reason)

Best Practices #

  • Respond promptly – Clients appreciate quick responses
  • Be clear about fees – If charging for custom songs, set expectations early
  • Build your library – Add approved songs to grow your repertoire
  • Decline gracefully – Explain limitations professionally
