Managing Group Leadership in BookLive

The Leadership section of your group lets you add or remove co-leaders so multiple people can manage your act in BookLive. Leaders have full administrative access to the group — they can edit settings, manage musicians, send proposals, accept gigs, and handle finances — so it’s important to choose them carefully and keep the leadership list current.

Who Should Be a Leader? #

Leaders have unrestricted access to your group. Common reasons to add a co-leader include:

  • A bandmate or business partner who shares booking responsibilities with you.
  • A spouse or family member who helps run the business behind the scenes.
  • An assistant or manager you trust to act on your behalf.

For team members who only need limited access (for example, an assistant who manages calendar entries but shouldn’t see finances), add them through the Members roster instead — leadership is reserved for people who should have full control.

Opening the Leadership Page #

  1. Log in to BookLive at https://booklive.com/login.
  2. From your dashboard, open the group you want to manage.
  3. In the left sidebar, expand the Members menu.
  4. Click Leadership.

You’ll see two sections: a Group Leadership table showing current leaders, and (if any are outstanding) a Pending Invitations table listing leaders who have been invited but haven’t accepted yet.

Inviting a New Leader #

You can invite a new leader by selecting an existing group member or by sending an invitation to any email address.

  1. On the Leadership page, click Invite Leader in the top-right corner.
  2. In the invitation dialog, choose one of the following:
    • Invite existing member — Pick a current roster member from the dropdown. Only members who aren’t already leaders will appear in the list.
    • Invite new contact — Enter the email address of the person you want to invite. They don’t need to be on your roster.
  3. Click Send Invitation.

The invitee will receive an email with a link to accept the leadership invitation. Until they accept, the invitation appears in the Pending Invitations table with the date sent and an expiration date.

Canceling a Pending Invitation #

If you sent an invitation by mistake or changed your mind, you can withdraw it before it’s accepted.

  1. Scroll to the Pending Invitations section.
  2. Find the invitation you want to revoke and click Cancel in its row.
  3. Confirm by clicking Yes, Cancel in the dialog that appears.

The invitation link will no longer work, and the entry will disappear from the table.

Removing a Leader #

When a leader no longer needs administrative access, you can remove them from the group leadership.

  1. In the Group Leadership table, find the leader you want to remove.
  2. Click Remove next to their name.
  3. Confirm by clicking Confirm in the dialog that appears.

The removed leader will lose all administrative access to the group immediately. If they were also a roster member, their roster membership is unaffected.

Removing Yourself as a Leader #

You can also step down from leadership of a group you’re part of. Look for the Remove Self button next to your own name in the leadership table.

⚠️ Important: If you are the only leader of the group and you remove yourself, you will lose access to the group entirely. BookLive will display a warning before you confirm. To regain access in that situation, you’ll need to contact the BookLive support team.

If there are other leaders in place, removing yourself is straightforward — you simply lose admin access while the group continues to operate under the remaining leaders.

Tips & Notes #

  • Leadership invitations expire after a set period. If a recipient doesn’t accept in time, cancel the original invitation and send a fresh one.
  • Only existing leaders can invite or remove other leaders. Roster members without leadership access won’t see the Leadership page.
  • Leaders aren’t billed separately — they share access to the group’s existing BookLive subscription.
  • If you can’t see the Invite Leader button, double-check that you’re logged in as a leader of the group. Roster members and collaborators don’t have permission to manage leadership.
