Managing Leadership Invitations

Leadership invitations allow you to invite other users to help manage your group. This guide explains how to send, track, and manage leadership invitations.

What Are Leadership Invitations? #

Leadership invitations are different from artist invitations. While artist invitations add musicians to your performance roster, leadership invitations grant management access to your group.

Leadership Roles #

People you invite as leaders can:

  • Create and manage performances
  • Send contracts and invoices
  • Manage the musician roster
  • Access financial information
  • Communicate with clients
  • Configure group settings

Sending a Leadership Invitation #

  1. Navigate to your group settings
  2. Go to the Team or Leadership section
  3. Click Invite Leader
  4. Enter the email address of the person you want to invite
  5. Send the invitation

Invitation Status #

Leadership invitations can have the following statuses:

  • Pending – Sent but not yet responded to
  • Accepted – The person has joined as a leader
  • Declined – The person chose not to accept
  • Expired – The invitation has passed its expiration date

Invitation Expiration #

Leadership invitations have an expiration date for security purposes. If an invitation expires before being accepted, you’ll need to send a new one.

What the Invitee Receives #

When you send a leadership invitation, the recipient receives:

  • An email notification about the invitation
  • A secure link to accept or decline
  • Information about your group
  • Details about what access they’ll receive

Accepting an Invitation #

To accept a leadership invitation:

  1. Click the link in the invitation email
  2. Log in to BookLive (or create an account if needed)
  3. Review the invitation details
  4. Click Accept to join as a leader

Managing Active Leaders #

Once someone accepts a leadership invitation:

  • They appear in your group’s leadership list
  • They can access group management features
  • You can adjust their permissions if needed
  • You can remove them from leadership if circumstances change

Best Practices #

  • Invite trusted individuals – Leaders have significant access to your group
  • Communicate first – Let people know to expect the invitation
  • Set clear expectations – Discuss responsibilities before sending invitations
  • Review regularly – Periodically audit who has leadership access
