Production Sheet Attachments let you upload files — venue maps, parking instructions, dress code reminders, or any other reference material — that automatically appear on every musician’s production sheet for every performance. Upload once in Staffing Settings and your musicians will always have the documents they need before showtime.
Before You Begin #
- You must be logged in as the group leader or an admin-level member of your group.
- Supported file types: PDF, DOC, DOCX, JPG, JPEG, PNG
- Maximum file size: 10 MB per attachment
Step 1: Navigate to Staffing Settings #
Log in at https://booklive.com/login and open your group. In the left sidebar, click Staff to expand the personnel section, then click Staffing Settings.
Step 2: Upload an Attachment #
You’ll see the Production Sheet Attachments card. To add a new file:
- Type a name for the attachment in the Attachment Name field (for example, Venue Map or Parking Instructions). If you leave the name blank, BookLive will auto-fill it from the filename when you select a file.
- Optionally, add a short note in the Description field to remind yourself or your musicians what the file contains.
- Click Choose File and select the file from your computer.
- Click Upload. The attachment will appear in the list immediately.
Step 3: View or Remove Existing Attachments #
Any attachments you’ve already uploaded are listed in the Production Sheet Attachments card. From there you can:
- View — Click the eye icon next to an attachment to open the file in a new tab.
- Delete — Click the red trash icon to permanently remove the attachment. You’ll be asked to confirm before anything is deleted.
Changes take effect immediately — deleted attachments will no longer appear on production sheets, and newly uploaded attachments will show up on all production sheets going forward.
How It Appears on Production Sheets #
When a musician views or prints their production sheet for any performance, they’ll see an Attachments section near the bottom of the sheet. Each file appears as a clickable link they can open directly from the sheet. This works whether the musician is viewing the sheet on screen or printing it — the link stays active in both cases.
Tips & Notes #
- Attachments in Staffing Settings are group-wide — they appear on every performance’s production sheet, not just one. If you need to attach a document to a single performance only, use the performance-level attachment tools instead.
- PDFs work best for documents you want musicians to print or reference. Use JPG or PNG for quick visual references like maps or diagrams.
- Keep the Attachment Name short and descriptive — it’s what musicians see as the link label on the production sheet.
