Managing Quote Requests in BookLive

When a client submits a booking request through your Time-Based Pricing quote page, it lands in your Quote Requests inbox for review. This is where you can see all the details of the request — date, duration, venue, total pay — and either accept or decline before the performance is created in BookLive.

Before You Begin #

Step 1: Navigate to Quote Requests #

  1. Log in at https://booklive.com/login.
  2. Select your group from the top navigation.
  3. In the left sidebar, click Quote Requests.

The page is divided into two panels: a list of incoming requests on the left, and the detail view for the selected request on the right.

Step 2: Review the Request Details #

Click any request in the left panel to open it. The detail card shows:

  • Date — The requested performance date.
  • Event — The event type the client selected (e.g., Wedding, Corporate).
  • Time & Duration — The requested start time and total hours.
  • Venue — Venue name and city/state.
  • Total Payment — Your net payout after platform fees.
  • Client — The name of the client who submitted the request.

If needed, you can open a chat window with the client directly from this view by clicking the chat icon next to their name.

Step 3: Check for Schedule Conflicts #

BookLive automatically checks whether you have any other performances on the same date. If a conflict is detected, a Same Day Performances alert appears at the top of the detail card. It shows:

  • The title and venue of each conflicting performance.
  • The time gap between performances and estimated travel time.
  • A Times overlap! warning in red if the schedules directly conflict.

Use this information to decide whether you can fulfill the request before responding.

Step 4: Accept or Decline the Request #

At the bottom of the detail card, you’ll see two action buttons.

To Accept #

  1. Check the I have read and agree to the terms & conditions checkbox. You can click the terms & conditions link to review them in a dialog.
  2. Click Accept Booking.

BookLive creates a new performance on your calendar and sends you a confirmation by email. The card turns green to confirm the acceptance.

To Decline #

  1. Click Decline Booking.
  2. Confirm the prompt.

The card turns red and the request is marked as declined. The client is notified automatically.

Tips & Notes #

  • Quote Requests are generated when clients submit bookings through your Time-Based Pricing flow. Flat-rate packages use a separate Booking Links workflow.
  • You must agree to the terms & conditions before accepting — this serves as the performance contract. A PDF copy is sent to you by email once you accept.
  • Accepted requests automatically create a new performance with the date, venue, duration, and client pre-filled — no manual entry needed.
  • If you have multiple pending requests, select each one from the left panel to review them individually.
