Every partnership record in BookLive includes a dedicated Tasks tab where you can create, track, and complete one-off follow-up actions tied to that venue or business relationship. Partnership tasks keep your outreach to-do list organized alongside the venues and organizations you’re building relationships with — without cluttering your gig timelines or client records. This article walks through how to create, complete, edit, and delete tasks on a partnership record.
Before You Begin #
- You must have at least one partnership record in your Gig Vault. If you haven’t added any venues or business partnerships yet, see Using the Gig Vault to Manage Venue Relationships in BookLive.
- Tasks on partnership records are one-off tasks — manual to-dos you create yourself. These are separate from automated steps in a Sales Cadence.
Where to Find Partnership Tasks #
- Log in at https://booklive.com/login.
- Click Gig Vault in the left sidebar.
- Click the name of any partnership to open its record.
- Select the Tasks tab within the partnership detail page.
The Tasks tab displays all open tasks for that partnership, listed with their name, optional description, and due date.
Creating a Task #
- On the Tasks tab, click Add Task in the upper-right corner.
- In the dialog that appears, enter a Task Name — this is required. Be specific: for example, “Follow up on spring availability” is more useful than “Follow up.”
- Optionally, add a Description with additional context or notes about the task.
- Set a Due Date by clicking the calendar field and selecting a date. Due dates are required and help you prioritize outreach.
- Click Create Task.
The task immediately appears in the task list on the Tasks tab.
Marking a Task Complete #
- Locate the task you want to complete in the task list.
- Click the checkbox to the left of the task name.
- The task is marked complete and removed from the active task list.
Editing a Task #
- Click anywhere on the task name or description row to open the edit dialog.
- Alternatively, click the three-dot menu (⋮) on the right side of the task row and select Edit.
- Update the task name, description, or due date as needed.
- Click Update Task to save your changes.
Deleting a Task #
- Click the three-dot menu (⋮) on the task you want to remove.
- Select Delete.
Deleted tasks cannot be recovered, so confirm before removing anything you may need to reference later.
Tips & Notes #
- One-off vs. cadence steps: Tasks created here are manual to-dos you manage yourself. Automated follow-up steps live inside Sales Cadences — see Using Sales Cadences to Follow Up with Venue Partnerships in BookLive for more on automated outreach.
- Client tasks work the same way: If you also track follow-up tasks for individual clients, the workflow is identical — see Managing Tasks on Client Records in BookLive.
- Due dates are required when creating partnership tasks. If you’re unsure of a specific date, set a rough target to keep the task visible and avoid it slipping through the cracks.
