When you perform at large venues — hotels, country clubs, event centers — you often play in a specific room or area rather than the venue as a whole. BookLive’s Venue Spaces feature lets you track that detail directly on your gig, so musicians, collaborators, and timelines all reference the exact room, not just the building.
Before You Begin #
- Log in at https://booklive.com/login and navigate to your group.
- You must already have a performance with a venue assigned. If you haven’t added a venue yet, see How to Add a Venue to a Gig on BookLive first.
Step 1: Open the Performance #
- From your group dashboard, click the performance you want to update.
- On the performance detail page, locate the venue section near the top — you’ll see the venue name displayed under the gig date.
Step 2: Select or Create a Space #
Directly below (or adjacent to) the venue name, you’ll see a Space indicator. If no space has been assigned, it shows Space: Select.
- Click Space: Select to open the space dropdown.
- You’ll see a list of any spaces already saved for this venue.
- Click a space name to assign it to this performance — the indicator updates immediately.
If the space you need isn’t listed, click + Create New Space at the bottom of the dropdown.
Step 3: Create a New Space #
The Add a Space dialog will appear. Fill in the following fields:
- Name — The name of the room or area (e.g., Grand Ballroom, Cocktail Terrace, Garden Pavilion).
- Directions — Optional load-in or wayfinding notes for your musicians (e.g., Enter through the side entrance on Oak St. and take the freight elevator to Level 2).
- Outdoor — Toggle this on if the space is outdoors. This is useful for weather planning and logistics.
- Enter the space name and any relevant directions.
- Toggle Outdoor on if applicable.
- Click Save.
The new space is saved to the venue and automatically assigned to the current performance.
Step 4: Change or Clear a Space #
If you need to switch the assigned space later:
- Click the current space name (shown as Space: [Name]) to reopen the dropdown.
- Select a different space from the list, or create a new one.
Tips & Notes #
- Spaces are saved per venue. Once you create a space for a venue (e.g., “Grand Ballroom” at the Marriott), it’s available the next time you book a gig at that same venue. You don’t need to recreate it.
- Directions help musicians find their way. Use this field for load-in instructions, parking details, or any site-specific notes that are useful on the day of the event.
- One space per performance. Each performance can be assigned one space. If you need to note multiple rooms (e.g., cocktail hour in one space, reception in another), use the Notes tab or the Timeline to capture that detail.
- Outdoor events flagged as outdoor can serve as a reminder to plan for weather contingencies.
