Sometimes you need to temporarily stop a workflow or individual enrollment without cancelling it permanently. BookLive allows you to pause and resume at both the workflow and enrollment level.
Pausing vs Cancelling #
Understanding the difference is important:
| Action | Effect | Reversible? |
|---|---|---|
| Pause | Temporarily stops execution | Yes – can resume |
| Cancel | Permanently stops execution | No – must create new enrollment |
Pausing a Workflow #
Pausing a workflow affects the workflow itself and all its enrollments:
How to Pause #
- Go to Workflows
- Find the workflow
- Change status to Paused
What Happens #
- No new enrollments can be created
- Existing active enrollments continue running
- The workflow appears with “Paused” status
Note: Pausing a workflow does not automatically pause existing enrollments. They continue executing until manually paused or completed.
When to Pause a Workflow #
- Making significant changes to steps or templates
- Temporarily stopping new enrollments during a busy period
- Reviewing workflow performance before continuing
Resuming a Workflow #
- Go to Workflows
- Find the paused workflow
- Change status to Active
The workflow is now accepting new enrollments again.
Pausing an Enrollment #
Pausing an individual enrollment stops that specific client journey:
How to Pause #
- Open the enrollment (from performance or workflow view)
- Click Pause or select it from the actions menu
- Confirm the action
What Happens #
- Status changes to “Paused”
- Pause timestamp is recorded
- No pending steps will execute
- Scheduled times are preserved but not executed
When to Pause an Enrollment #
- Client requested a temporary hold
- Need to verify information before continuing
- Waiting for a response before sending more emails
- Performance details changed and need review
Resuming an Enrollment #
- Open the paused enrollment
- Click Resume
- The enrollment returns to “Active” status
After Resuming #
When you resume an enrollment:
- Status changes back to “Active”
- Pause timestamp is cleared
- Next pending step will execute at its scheduled time
Timing Considerations #
If steps were scheduled during the pause period:
- They may be past-due when you resume
- Past-due steps typically execute immediately after resuming
- Consider rescheduling if the original timing is no longer appropriate
Bulk Pause/Resume #
To pause or resume multiple enrollments:
- Go to the workflow
- View enrollments
- Select multiple enrollments
- Choose bulk action (Pause All or Resume All)
Common Scenarios #
Client Going on Vacation #
- Pause their enrollment
- Note the reason
- Set a reminder to resume after their return
- Resume and reschedule if needed
Performance Date Changed #
- Pause the enrollment
- Review scheduled steps
- Reschedule steps based on new date
- Resume the enrollment
Template Update Needed #
- Pause affected enrollments (or the workflow)
- Update the template
- Resume enrollments
Note: Template updates affect future sends but not already-scheduled step content in enrollment snapshots.
Monitoring Paused Items #
Keep track of what is paused:
- Filter enrollments by “Paused” status
- Review paused workflows periodically
- Set reminders to review and resume
Avoid leaving enrollments paused indefinitely – either resume or cancel them.
Best Practices #
- Document why – Note the reason for pausing
- Set reminders – Do not forget to resume
- Review timing – After resuming, check if step schedules still make sense
- Communicate if needed – If a significant delay occurred, consider adjusting content
