When you coordinate multiple group leaders or co-leaders across a busy schedule, it can be easy to miss a declined invitation or an expired musician request that someone else sent. BookLive’s Receive Invitation Updates for All Group Events setting lets any group leader opt in to receive notifications whenever a musician declines or lets an invitation expire — for any event in the group, not just the ones they personally sent.
Before You Begin #
- You must be logged in as a group leader (not a member) to receive these notifications. The setting is available to all account types, but notifications are only delivered to users with a leader role in the group.
- You have an active BookLive account at booklive.com/login.
Step 1: Open Account Settings #
- Log into your BookLive dashboard at booklive.com/login.
- Click your profile picture or the grey avatar icon in the top-right corner of the screen.
- Select Settings from the dropdown menu.
- On the Settings page, click the Notifications tab.
Step 2: Enable the Setting #
Scroll down the Notifications tab until you see the toggle labeled Receive Invitation Updates for All Group Events?
Flip the toggle to the on position. The hint text beneath the toggle reads:
“As a group leader, get notified when a musician declines or lets an invitation expire for any event in your group — not just invitations you sent.”
Your preference is saved automatically — there is no separate Save button. A brief confirmation will appear at the bottom of the screen.
What Happens When the Setting Is On #
Once enabled, BookLive will send you a notification whenever:
- A musician declines a seat invitation that any leader in your group sent
- A musician’s seat invitation expires without a response
These notifications work in addition to the original sender’s own alerts — the person who sent the invitation always receives their own notification regardless of your setting.
When to Use This Setting #
This setting is most useful when:
- You share booking and staffing duties with one or more co-leaders and want a full picture of musician availability across all events
- You manage a high-volume schedule and need to step in quickly when a seat goes unfilled
- You want to monitor staffing gaps without having to check the Musicians tab on every individual performance
Tips & Notes #
- Leaders only: Even if a group member enables this toggle, they will not receive the additional notifications — only users with a group leader role will be notified.
- Your own proposals are always covered: You already receive notifications for invitations you personally send. This setting adds coverage for invitations sent by your co-leaders.
- Each leader opts in independently: Enabling this for your account does not affect other leaders’ notification preferences. Each leader controls their own setting.
