Reordering and Organizing Your Roster

The order of musicians in your personnel lists matters for auto-contracting and quick reference. BookLive makes it easy to organize your roster exactly how you want it.

Why Order Matters #

The position of artists in your personnel lists affects:

  • Auto-contracting – Artists are contacted in list order when filling seats
  • Quick reference – Your preferred musicians appear first
  • Substitute selection – Higher-ranked substitutes are suggested first

Drag-and-Drop Reordering #

BookLive supports intuitive drag-and-drop reordering:

  1. Navigate to your personnel list
  2. Click on an artist’s row and hold
  3. Drag them to your desired position
  4. Release to drop them in place
  5. The new order is saved automatically

Organizing Within Specialties #

Reordering works within each specialty section. You can arrange:

  • Violinists in order of preference
  • Cellists by experience level
  • Pianists by availability or skill

Each specialty maintains its own independent ordering.

Creating Custom Personnel Lists #

Beyond reordering, you can create entirely new personnel lists for different purposes:

  1. Go to your Members section
  2. Click Create New List
  3. Give your list a descriptive name
  4. Start adding artists to the new list

Common Organizational Strategies #

By Reliability #

Place your most reliable musicians at the top of each specialty. They’ll be contacted first for auto-contracting.

By Skill Level #

Organize by expertise, with your most skilled musicians first for high-profile gigs.

By Availability #

Put musicians with more flexible schedules higher in the list for faster booking confirmation.

Managing Multiple Lists #

The same artist can appear in multiple personnel lists with different positions. For example:

  • First in your Regulars list
  • Also in your Jazz Specialists list
  • Available as a backup in your Premium list

Tips for Effective Organization #

  • Review regularly – Update positions as circumstances change
  • Consider auto-contracting – Think about who should be contacted first
  • Keep it simple – Don’t over-complicate with too many lists
  • Document your logic – Remember why you ordered things a certain way
