When the BookLive research team completes your area sweep request, a results page appears with every venue, event planner, and event vendor they found in your target area. This article shows you how to access those results, review each prospect, and add the right contacts to your Gig Vault in one step.
Before You Begin #
- You must have already submitted an area sweep request. See Requesting an Area Sweep for Event Opportunities in BookLive for instructions.
- Area sweep research is a Pro feature. Your area sweep must have a Completed status before you can review it.
Step 1: Open Your Request History #
- Go to https://booklive.com/login and sign in.
- In the left sidebar, click your group name to open your group dashboard.
- Click Gig Vault in the navigation, then open the Prospecting tab.
- In the upper-right area of the Prospecting panel, click Request History.
The Request History page lists every area sweep you have submitted, sorted with the most recent at the top. Each row shows:
- Requested — the date you submitted the sweep
- Type — Venues, Planners, or Event Vendors
- Location — the city and state you searched
- Gig type — the event category filter you applied, if any
- Distance — the search radius in miles
- Status — In Progress (still being researched) or Completed (ready to review)
- Prospects — the number of contacts found
Step 2: Open a Completed Request #
Click any row with a Completed status badge. Completed rows are highlighted and show a Review → link on the right side. In-progress requests show “Waiting…” and are not yet clickable.
The Review page opens and displays the title Your Prospecting Results along with a summary of the search parameters (type, location, radius, and gig type).
Step 3: Review the Prospects #
Each prospect appears as a card with the following information:
- Name — the venue, planner, or vendor name
- Type tag — a label showing whether it is a Venue, Planner, or Event Vendor
- City and state
- Address — when available
- Phone — a clickable link that opens your dialer
- Website — a clickable link that opens in a new tab
Cards that you have already added to your Gig Vault display a green checkmark and an Added button (grayed out) so you can immediately see which prospects are already in your pipeline.
Step 4: Add Prospects to Your Gig Vault #
You can add prospects one at a time or in bulk.
Add a Single Prospect #
Click the Add to Gig Vault button on any card. BookLive creates a new Partnership record for that contact with a status of Lead and confirms the addition with a brief success message.
Add Multiple Prospects at Once #
- Check the box in the top-left corner of each card you want to add. A toolbar at the top of the page shows how many prospects are selected.
- To select every prospect that has not yet been added, click Select all N in the toolbar.
- Click Add Selected (N) to Gig Vault. BookLive processes each addition and confirms with a count of how many were added.
Step 5: Report Inaccurate Prospects #
If a prospect is incorrect — the business is permanently closed, the contact does not match, or the listing is irrelevant — you can flag it for the BookLive team.
- On the prospect card, click Report bad (the small flag icon in the card footer).
- Optionally describe the problem in the text field (for example, “Business is permanently closed” or “Wrong contact attached”).
- Click Report. The card is removed from your results view and the BookLive team is notified to investigate.
Reporting a prospect does not affect your Gig Vault and does not penalize you in any way. It simply helps improve the quality of future research results.
Tips & Notes #
- Prospects start as Leads. Every contact added from the review page enters your Gig Vault with a status of Lead. Open the partnership record to update the status, add notes, assign tasks, or start a sales cadence.
- No duplicates. If you accidentally click Add to Gig Vault on a prospect that is already in your pipeline, BookLive skips the duplicate and tells you the contact is already there.
- Request history is permanent. You can return to any completed request at any time from the Request History page, even months later. There is no expiration.
- Results stay ready until you’re done. You do not have to add all prospects in one session. Come back to the review page whenever you are ready to process more contacts.
