Sending Email Broadcasts in BookLive

The Broadcast feature in BookLive lets you send a mass email to your clients, your Gig Vault partners, or both at once — directly from the platform. You can send immediately or schedule a broadcast for a future date and time. After a broadcast is sent, BookLive tracks open rates, click rates, and per-recipient delivery details so you can see who engaged with your message.

Before You Begin #

  • Broadcast email must be enabled for your group. If you don’t see Broadcast in the Marketing section of your left sidebar, contact BookLive support to have this feature turned on.
  • Only group leaders can compose and send broadcasts.
  • Broadcast emails are plain text. Links you include in the body are automatically tracked for click-throughs.

Step 1: Open the Broadcast Composer #

  1. Log in at https://booklive.com/login.
  2. In the left sidebar, click Marketing to expand that section.
  3. Click Broadcast.
  4. The page opens in the Compose view by default, showing a 4-step wizard: Content → Audience → Send Details → Review.

Step 2: Write Your Message (Content Step) #

  1. In the Subject line field, enter the subject that recipients will see in their inbox. The subject is required and can be up to 255 characters.
  2. In the Message field, write your email body. The message is plain text — any URLs you type are automatically converted into clickable, tracked links when the email is delivered.
  3. Click Next to proceed to the Audience step.

Step 3: Choose Your Audience #

BookLive shows you a live estimated recipient count as you configure the audience settings.

  1. Check Clients to include your client list. Optionally, narrow to specific clients by selecting one or more tags from the Filter by tags dropdown. Leave the tag filter blank to include all clients.
  2. Check Partners to include your Gig Vault partners. Optionally filter by:
    • Filter by status — select one or more partnership statuses (lead, contacted, engaged, active, or paused)
    • Filter by tags — select one or more partner tags

    Leave both partner filters blank to include all partners.

  3. You must select at least one audience (Clients, Partners, or both) before continuing.
  4. Click Next when you’re satisfied with the audience.

Step 4: Set the Send Time #

  1. Choose when to send:
    • Immediately — the broadcast is sent as soon as you confirm on the Review step.
    • Later — the broadcast is queued and sent at the date and time you choose. Select a future date and time using the Send at picker.
  2. Click Next to load the Review step.

Step 5: Review and Send #

BookLive builds a full preview of your broadcast before anything is sent.

  1. Review the Email Preview on the left side, which shows how your subject and body will appear to recipients.
  2. Check the Audience panel to confirm the number of recipients and any targeting filters you applied.
  3. Check the Sending panel to confirm the From address (your group name and BookLive group email) and the scheduled send time.
  4. Expand the Recipients and Skipped sections to see exactly who will receive the broadcast and who was excluded (for example, contacts without a valid email address).
  5. When everything looks correct, click Send Now (for immediate sends) or Schedule Send (for scheduled sends). If you need to make changes, click Edit on any panel or use the Back button to return to an earlier step.

Managing Scheduled Broadcasts #

If you scheduled a broadcast for a future date, you can edit or cancel it before it sends.

  1. Click the History button at the top right of the Broadcast page to switch to the history view.
  2. Find the broadcast with a Scheduled status badge (shown in blue).
  3. Click the row to open the editor, where you can update the subject, body, audience, or scheduled send time.
  4. To cancel the broadcast, click Cancel on its row (or the Delete button inside the editor). Cancellation is permanent — the broadcast will not be sent.

Viewing Broadcast History and Results #

After a broadcast is sent, you can review its performance from the History view.

  1. Click History on the Broadcast page.
  2. The table shows each broadcast’s subject, status, send date, recipient count, open rate, and click rate.
  3. Click any Sent broadcast row to open the detail view, which shows a per-recipient breakdown including whether each person opened the email, clicked a link, or had their message bounce.

Broadcast Status Reference #

  • Scheduled (blue) — queued for a future send time; can be edited or cancelled
  • Sending (orange) — currently being dispatched to recipients
  • Sent (green) — delivery complete; open and click tracking available
  • Cancelled (grey) — was cancelled before sending

Tips & Notes #

  • Broadcasts are sent from your group’s BookLive email address (e.g., yourgroupname@groups.booklive.com), displayed with your group name.
  • Open tracking uses an invisible pixel in the email; some email clients block images, so actual open rates may be slightly understated.
  • Links in your message body are automatically rewritten to go through BookLive’s click tracker before redirecting to the original URL. This is how click rates are measured.
  • Clients or partners without a valid email address are automatically skipped and listed in the Skipped section of the Review step.
  • Once a broadcast has been sent, it cannot be edited or re-sent. Create a new broadcast if you need to send a follow-up.
