Blackout dates let you mark specific days as unavailable on your BookLive calendar. When a date is blacked out, it appears as a red block on your calendar and is flagged during availability checks — making it easy to prevent bookings on days you know you can’t perform. You can block a single day, a continuous date range, or an entire weekend with just a few clicks.
Where to Find Blackout Dates #
- Log in at https://booklive.com/login.
- Click Calendar in the left sidebar to open your main calendar view.
- Click on any date to open the date action menu.
Blocking a Single Date #
- Click the date you want to block out on the calendar.
- In the dialog that appears, click Add Blackout Date.
- Confirm or adjust the date using the date picker.
- Optionally, enter a Blackout Reason (for example, “Family vacation” or “Personal day”). This is for your reference only — it is not visible to clients.
- Click Save Blackout Date.
The date will immediately appear with a red background on your calendar.
Blocking an Entire Weekend #
If the date you select falls on a Friday, Saturday, or Sunday, BookLive offers a shortcut to block out the full Friday–Sunday weekend at once.
- Click on a Friday, Saturday, or Sunday on the calendar.
- Click Add Blackout Date.
- Check the Blackout entire weekend checkbox that appears below the date picker.
- Optionally, enter a reason.
- Click Save Blackout Date.
BookLive will block Friday, Saturday, and Sunday of that weekend simultaneously.
Blocking a Range of Dates #
Use this option to block multiple consecutive days — for example, during a vacation or a stretch you know you’re unavailable.
- Click any date on the calendar and then click Add Blackout Date.
- Toggle on Blackout a range of dates at the top of the form.
- Select a Start date using the date picker.
- Select an End date using the second date picker.
- Optionally, enter a reason.
- Click Save Blackout Date.
Every day between and including the start and end dates will be blacked out.
How Blackout Dates Appear #
On your calendar, blacked-out days display as a red background behind the date. On the Dashboard, upcoming blackout dates appear in your event feed as “Unavailable” with a block icon and any reason you entered.
Blackout dates are also factored into your group’s availability checks. If a performance is scheduled on a blacked-out date, BookLive will flag a warning to help you catch conflicts before they become a problem.
Removing a Blackout Date #
- Click the blacked-out date on your calendar.
- In the dialog that appears, click Delete Blackout Date.
The date is immediately restored to available status. Note that removing a blackout date removes only that single day — if you blacked out a range, you’ll need to delete each day individually.
Tips & Notes #
- Blackout dates affect your personal/act-level availability and are reflected in availability rule checks for your group.
- Blackout reasons are internal — they are never shown to clients or on the client portal.
- Blackout dates do not automatically cancel existing performances scheduled on those dates — they are a forward-looking tool for preventing new conflicts.
