The Booking Funnel in BookLive is a built-in lead capture and conversion system that turns website visitors into booked calls — automatically. It gives you a customizable opt-in page, a video presentation sequence, a calendar booking step, and optional auto-proposal creation, all tracked with analytics so you know exactly where prospects are dropping off. This article walks you through setting up each step of the funnel from scratch.
Before You Begin #
- You must be a group leader to access and configure the Booking Funnel.
- If you plan to use the calendar embed step, have your external booking link ready (Calendly, Acuity, or similar).
- If you want to trigger a workflow when a lead books a call, create that workflow first in the Workflows section and set it to Active.
Step 1: Open the Booking Funnel #
- Log in at https://booklive.com/login.
- In the left sidebar, navigate to Marketing.
- Click Booking Funnel.
If this is your first time opening the Booking Funnel, BookLive creates a default funnel for your group automatically. You’ll land on the Funnel Setup page, which is organized into four numbered steps: Opt-in Page, Video Content, Calendar Setup, and Auto Proposals. You can expand and collapse each section individually, or use the Next Step button to move through them in order.
Step 2: Customize Your Opt-in Page #
The opt-in page is the first thing prospects see when they click your funnel link. It captures their name and email before showing them your video or calendar.
- Click the Opt-in Page section to expand it.
- In the Compelling Headline field, enter the main headline for your page — for example, “See Why We’re the Top Choice for Luxury Weddings.”
- In the Call-to-Action Button field, enter the button text that will appear on the form. The default is Check Availability.
- Under Event Types You Serve, add or remove the event types your group performs (e.g., Wedding, Corporate, Nonprofit, Private Party). These appear as options on your opt-in form so leads can indicate their event type.
- Optionally, upload a Background Image to brand the opt-in page with a photo of your group or a past performance.
- Click the Preview button in the top-right of the section to see how your opt-in page looks to visitors.
Step 3: Set Up Your Video Content #
After a lead opts in, BookLive shows them a video page — typically a performance highlight reel or a personalized message — before they reach the calendar.
- Click the Video Content section to expand it.
- Enter a Video URL for your primary video (YouTube or Vimeo links work well).
- If you want to show different videos depending on the event type the lead selected on the opt-in page, enable Use Event-Specific Videos and paste a URL for each event type (e.g., a wedding highlight reel for Wedding leads, a corporate reel for Corporate leads).
- Use the Show Videos toggle to enable or disable the video step entirely. If disabled, leads skip directly from the opt-in page to the calendar.
Step 4: Connect Your Calendar #
The calendar step is where leads book a consultation call with you directly. BookLive embeds your external scheduling tool (Calendly, Acuity, etc.) into the funnel page.
- Click the Calendar Setup section to expand it.
- In the Calendar Embed Code field, paste the embed code from your scheduling platform. Most platforms provide this under their “embed” or “share” settings.
- Optionally, enable Enforce Availability Rules to check your group’s availability rules when a visitor picks a date. Dates that violate your rules will display a warning. Note: leads can still select those dates — this is informational, not a hard block. Availability rules are configured in Group Settings → Availability Rules.
Tracking Pixels (Advanced) #
If you run paid ads and want to track conversions accurately, expand the Advanced section and add your tracking codes:
- Global Tracking Pixel — Fires on every page of the funnel.
- Lead Page Tracking — Fires on the opt-in page only.
- Video Page Tracking — Fires on the video page only.
- Call Booked Tracking — Fires when a lead successfully books a call. Use this as your conversion event in Meta Ads, Google Ads, or similar platforms.
Step 5: Enable Auto Proposals (Optional) #
BookLive can automatically generate a proposal when a lead books a call through the funnel, so there’s already a proposal ready before your first conversation.
- Click the Auto Proposals section to expand it.
- Toggle Enable Automatic Proposal Creation on.
- In the Products selector, choose which services or packages you want included in the auto-generated proposal.
- Optionally, select a Trigger Workflow — any active workflow you’ve built. BookLive will enroll the new lead in this workflow automatically, which is useful for sending follow-up emails between the call booking and the actual call.
Step 6: Save and Share Your Funnel #
- Once you’ve configured each section, click Save at the bottom of the page.
- Your funnel has a unique public URL. You can find it by clicking Preview on the Opt-in Page section — the URL in your browser is your funnel link.
- Share this link in your email signature, on your website, in ad campaigns, or anywhere you want to drive leads. You can also embed the funnel link as a button on your BookLive performing site.
Viewing Funnel Analytics #
BookLive tracks your funnel performance at every stage. To view analytics, click View Analytics in the top-right corner of the Funnel Setup page (or navigate to Marketing → Booking Funnel → Analytics).
The analytics dashboard shows:
- Visits — Total number of people who landed on your opt-in page.
- Opt-ins — Leads who submitted their information on the opt-in page.
- Calendar Clicks — Leads who clicked into the calendar booking step.
- Appointments — Leads who completed a booking.
- Opt-in Rate — Percentage of visitors who opted in.
- Appointment Rate — Percentage of opt-ins who booked a call.
Use the date range filter to view performance over the last 7 days, 30 days, 90 days, this month, last month, year-to-date, or a custom range.
Tips & Notes #
- Your Call Booked tracking pixel fires when a lead reaches BookLive’s confirmation step — to capture accurate Calendly appointment data, use Calendly’s redirect URL feature and point it to the BookLive confirmation page URL listed in the Analytics section.
- The opt-in page, video page, and calendar page each have distinct URLs within the funnel — useful for page-specific tracking or sharing a deep link to the video step.
- Auto proposals use whatever packages and pricing you’ve configured in your BookLive products. Make sure your products are set up before enabling this feature.
- If you’re not ready to send video traffic yet, disable the Show Videos toggle to create a shorter, two-step funnel (opt-in → calendar).
