The Gig Vault is built on a shared database of venues, planners, and event vendors. When you notice that a partner record contains outdated or incorrect information — a wrong phone number, an old website, a closed social media account — you can submit a correction directly from the partnership detail page. BookLive reviews your suggestion and applies it to the shared record if approved. You’ll receive a confirmation once the edit goes live.
Before You Begin #
- You must have a partnership record for the venue or planner you want to edit. If the business isn’t in your Gig Vault yet, add it first.
- Edits are submitted for review — they are not applied instantly. The BookLive team reviews each suggestion before it is reflected in the shared database.
Step 1: Open the Partnership Record #
- Log in at https://booklive.com/login.
- In the left sidebar, click Gig Vault.
- Locate the venue or planner you want to update and click to open the partnership detail page.
Step 2: Open the Edit Partner Dialog #
In the upper section of the partnership detail page, next to the partner’s name and location, click the pencil (edit) icon. This opens the Edit Partner dialog.
Step 3: Update the Partner Information #
You can correct any of the following fields:
- Name — The venue or planner’s business name
- Website — Their primary website URL
- Facebook — Their Facebook page URL
- Instagram — Their Instagram profile URL
- Phone — Their main contact phone number
- Gig Types — The event types this partner works with (e.g. Wedding, Corporate)
Update only the fields that need to be changed. Fields you leave as-is will not be affected.
Step 4: Submit the Changes for Review #
When you’re satisfied with your corrections, click Submit Changes For Review. You’ll see a confirmation message: “Changes submitted for BookLive review.”
Your edit is now in the BookLive review queue. No changes are made to the shared record until a BookLive team member approves the suggestion.
Step 5: Receive Confirmation When Approved #
Once the BookLive team approves your edit, you’ll receive:
- An in-app notification confirming the edit was accepted
- An email notification with a link back to the partnership record
The partner record in your Gig Vault — and across the shared BookLive database — will then reflect the updated information.
Marking a Business as Permanently Closed #
If a venue, planner, or event vendor has permanently shut down, you can flag this directly in the Edit Partner dialog. Click Permanently Close (shown in the top-right corner of the dialog) and confirm. This submits a closure suggestion for review.
Once approved, the partner record will display a “Permanently Closed” label in red at the top of the partnership detail page, helping you and your team know at a glance that the business is no longer active.
Tips & Notes #
- Edits are shared. Because the Gig Vault uses a shared partner database, your correction helps improve data quality for all BookLive users who have a partnership with that venue or planner.
- Review time varies. Most edits are reviewed within a few business days. You’ll be notified as soon as a decision is made.
- Your own notes stay private. The Notes tab and Contacts tab on the partnership record are private to your group and are not part of the shared database. The edit suggestion only affects the shared partner profile (name, website, phone, social links, gig types).
- Gig types guide search and outreach. Keeping gig types accurate helps BookLive surface the right partners when you’re searching by event type or building a prospecting list.
