BookLive’s Google Calendar integration automatically pushes your confirmed gigs to your personal Google Calendar — including separate events for setup time and travel time. Once connected, your calendar stays up to date every time a performance is added or updated, so you never have to enter gig details twice.
Before You Begin #
- You need an active BookLive account. Log in at https://booklive.com/login.
- You need a Google account with Google Calendar access.
- Google Calendar sync is available to individual musicians (artists) on BookLive — not just bandleaders.
Step 1: Connect Your Google Account #
- Log in to BookLive at https://booklive.com/login.
- Click your avatar in the top-right corner and select Account Settings.
- Scroll down to the Google Calendar section.
- Click Connect Google Calendar.
- You’ll be redirected to Google’s authorization page. Sign in with the Google account you want to sync to, then click Allow to grant BookLive access to your calendar.
- Once authorized, you’ll be returned to Account Settings with a confirmation that Google Calendar is connected.
Step 2: Configure Your Sync Settings #
After connecting, you can customize how BookLive syncs your events. In the Google Calendar section of Account Settings, you’ll find the following options:
- Auto-Sync Calendar — When enabled (default), new and updated performances are synced to Google Calendar automatically. Turn this off if you prefer to sync manually.
- Default Setup Time (minutes) — The number of minutes before each performance that BookLive will block off for setup. The default is 30 minutes. Adjust this to match your typical load-in time.
- Starting Address — Enter your home or starting location. When provided, BookLive will calculate estimated travel time to each venue and add a dedicated travel block to your calendar before your setup window.
- Sync Setup Time Events — Toggle whether the setup time block appears on your Google Calendar. Enabled by default.
- Sync Travel Time Events — Toggle whether the travel time block appears on your Google Calendar. Requires a starting address. Enabled by default.
Click Save Settings after making any changes.
Step 3: What Gets Added to Your Calendar #
For each confirmed performance you’re booked on, BookLive creates up to three Google Calendar events:
- Performance event — Covers your actual performance time (or your specific timeline segment if the bandleader has assigned one). Includes the venue name, address, attire requirements, and any musician notes from the gig.
- Setup event — A block labeled “Setup: [Performance Name]” that ends at your performance start time and spans your configured setup duration. Includes the venue address so you can navigate directly from the event.
- Travel event — A block labeled “Travel: [Performance Name]” that ends when your setup window begins, sized to your estimated drive time from your starting address.
If you’ve been assigned to a specific timeline segment (e.g., cocktail hour only), your performance event will reflect those exact times rather than the full gig duration.
Step 4: Manually Sync Your Calendar #
If auto-sync is disabled, or you want to force a refresh of all your events:
- Go to Account Settings and scroll to the Google Calendar section.
- Click Sync Now.
- BookLive will queue a sync for all of your upcoming performances. This may take a few moments to complete.
Disconnecting Google Calendar #
To remove the Google Calendar connection:
- Go to Account Settings and scroll to the Google Calendar section.
- Click Disconnect.
- Your Google account will be unlinked. Existing events that were previously synced will remain on your Google Calendar — BookLive will not delete them. Future gig updates will no longer be pushed.
Tips & Notes #
- Events sync to your primary Google Calendar (the one associated with the Google account you connected).
- If you update a gig in BookLive (time change, venue change, etc.), the corresponding Google Calendar event is updated automatically when auto-sync is on.
- Travel time is estimated based on driving distance from your starting address. If no starting address is set, travel events will not be created even if Sync Travel Time Events is enabled.
- If a gig is removed or you’re taken off a performance, the associated Google Calendar events are automatically deleted.
