BookLive’s built-in calendar gives you a complete view of your upcoming performances, blackout dates, and tasks — all in one place. This article explains the different calendar views, how to navigate between dates, what each event color means, and how to filter what appears on your calendar.
Accessing Your Calendar #
Log in to BookLive at https://booklive.com/login. The calendar is displayed on your Home page as soon as you log in.
Calendar Views #
BookLive automatically adjusts the calendar view based on your screen size:
- Month Grid (desktop) — On medium and larger screens, the calendar displays a traditional monthly grid. Each day shows upcoming events at a glance, with up to one event visible per day cell before a “+more” overflow indicator appears.
- List View (mobile) — On smaller screens, the calendar switches to a scrollable week-by-week list of events. This makes it easier to read individual gig details without zooming in.
Switching Between Gig Lists #
At the top of the calendar, you’ll see a toggle with two options:
- 🎸 Gigs I’m Playing — Shows performances where you are a member of the performing group (booked as a musician).
- 🧑💼 Gigs I Manage — Shows performances you’ve created and are managing as a bandleader or organizer.
Click either button to switch. The calendar updates immediately to show only the events in the selected list.
Navigating Between Dates #
The calendar toolbar at the top of the calendar card includes several navigation controls:
- Month/Year title (left side) — Click the bold month and year text (e.g., “March 2026”) to open a date picker. First select a year from the grid, then select a month. The calendar will jump directly to that month.
- Prev / Next arrows — Move backward or forward one month at a time.
- Today button — Returns the calendar to the current month instantly.
Understanding Event Colors #
Events on your calendar are color-coded by type:
- Yellow/Gold — Performances that are pending or in a tentative status.
- Green — Confirmed performances.
- Red — Performances marked with an urgent or cancelled status.
- Red background (full day) — Blackout dates you’ve set to mark yourself as unavailable. These appear as a red background across the entire day cell.
- Purple — Partnership cadence tasks tied to your venue or planner partnerships.
- Deep purple — One-off partnership tasks with a specific due date.
- Orange — Client tasks with upcoming due dates.
Hovering Over Events #
On desktop, hovering over any event shows a tooltip with additional details:
- Performances — Shows the group name, date, time, and venue (loaded automatically).
- Blackout dates — Shows the reason you marked yourself unavailable and the date.
- Partnership tasks — Shows the partner name, task or action, and due date.
- Client tasks — Shows the client name, task name, any description, and due date.
Click any event to open the full details page for that performance, client, or partnership.
Using Event Filters #
Below the calendar, you’ll find an Event Filters button. Click it to open the filter settings panel, which includes the following toggles:
- Show Partnership Tasks — When enabled, upcoming cadence and one-off tasks from your venue/planner partnerships appear on the calendar. On by default.
- Show Client Tasks — When enabled, tasks tied to your clients with due dates appear on the calendar. On by default.
- Show [Group Name] Events Only — When enabled (only visible if you have an active group selected), the calendar filters down to show only events belonging to that specific group. Useful when managing multiple ensembles.
Filter settings are saved automatically and persist between sessions.
Adding Events from the Calendar #
To add a new event, click the + button in the top-right corner of the calendar toolbar. A small menu will appear with two options:
- Performance — Opens the Create Performance form.
- Blackout Date — Opens the Add Blackout Date dialog so you can mark yourself unavailable.
You can also click directly on any day in the calendar to open the blackout date dialog for that specific date.
Rescheduling Tasks by Dragging #
Client tasks and partnership tasks can be rescheduled by dragging them to a new date on the calendar. Simply click and hold an orange (client task) or purple (partnership task) event and drag it to the desired day. The new due date is saved automatically.
Note: Performances cannot be rescheduled by dragging. Clicking Confirm in the prompt that appears will take you to the Performance detail page, where you can properly update the date, notify your client, and coordinate with your musicians.
Tips & Notes #
- The calendar remembers which month you were viewing — if you navigate away and return, it will open where you left off.
- If events seem out of date, try navigating to a different month and back to trigger a refresh, or reload the page.
