Understanding Email Threading and Conversation History

The Performance Inbox automatically organizes emails into threaded conversations, making it easy to follow the back-and-forth communication with clients. This article explains how email threading works and how to navigate your conversation history.

What is Email Threading? #

Email threading groups related messages together based on their subject and reply relationships. When you send an email and a client replies, both messages appear together as part of the same conversation thread rather than as separate, disconnected emails.

This works just like threading in Gmail, Outlook, or Apple Mail – keeping your conversations organized and easy to follow.

How Threading Works in BookLive #

BookLive uses industry-standard email headers to maintain proper threading:

Message ID #

Every email sent from the Performance Inbox has a unique Message ID. This identifier is embedded in the email headers and allows email clients to track individual messages.

Thread ID #

When you start a new conversation, BookLive creates a Thread ID that groups all related messages together. Every reply in the conversation shares this same Thread ID.

In-Reply-To Header #

When you reply to an email, BookLive sets the In-Reply-To header to reference the original message. This tells email clients that your message is a response to a specific previous email.

References Header #

The References header contains the Thread ID, allowing email clients to group all messages in a conversation together, even if they were forwarded or have modified subjects.

Viewing Threaded Conversations #

In the Performance Inbox, threaded conversations display chronologically with the most recent messages at the top. Each email shows:

  • The direction (sent to or received from client)
  • Subject line with any Re: prefixes
  • Timestamp showing when the message was sent or received
  • Sender and recipient information

Click any email in the thread to expand it and view the full message body.

How Clients See Your Threads #

When you send an email from the Performance Inbox and the client views it in their email application (Gmail, Outlook, Yahoo, etc.), the threading information is preserved. This means:

  • Your emails will group together with their replies
  • The conversation appears as a single thread in their inbox
  • When they reply, their response is properly linked to the thread
  • The full conversation history is visible in context

This professional threading makes communication feel seamless and organized for your clients.

Starting a New Thread vs Replying #

Starting a New Thread #

When you click Compose Email and send a new message, BookLive creates a brand new thread. Use this when:

  • You are reaching out to a client for the first time
  • You want to start a new topic unrelated to previous conversations
  • You need to send important information that should not be buried in an existing thread

Replying to an Existing Thread #

When you expand an email and click Reply, your response is linked to that specific thread. Use this when:

  • Responding to a client question or message
  • Continuing an ongoing conversation
  • Following up on a previous topic
  • You want the client to see the full context of the conversation

Best Practice: Always reply to existing threads when continuing a conversation. This keeps all related messages grouped together for both you and the client.

Subject Line Handling #

When you reply to an email, BookLive automatically handles the subject line:

  • If the original subject does not start with “Re:”, BookLive adds it automatically
  • If the subject already has “Re:”, it is preserved without adding another
  • You can modify the subject if needed, but this may affect threading in some email clients

Tip: Keep subject lines consistent within a thread for the best threading experience across all email clients.

Conversation History for Team Members #

All team members who are participants in the Performance Inbox can see the complete conversation history. This includes:

  • Emails sent by any team member
  • Emails received from the client or collaborators
  • Full message bodies and metadata
  • Timestamps for all communications

This shared visibility ensures your entire team stays informed about client communications, even if they were not the original sender or recipient.

Conversation History in Client Portal #

Clients can also view their email conversation history through the Client Portal. When they access their performance page, they can see:

  • All emails exchanged with your team
  • The ability to reply directly from the portal
  • Full threading of the conversation

This provides clients with a convenient way to review previous communications without searching through their email inbox.

Threading Across Email Clients #

Different email clients handle threading slightly differently:

Gmail #

Gmail groups emails by subject and participants. Emails from the Performance Inbox will thread properly as long as the subject remains consistent.

Outlook #

Outlook uses the References and In-Reply-To headers to group conversations. BookLive includes these headers, so threading works correctly in both desktop and web versions.

Apple Mail #

Apple Mail respects the standard threading headers, displaying conversations as expandable threads.

Troubleshooting Threading Issues #

Emails Not Grouping Together #

If your emails are not threading properly in the client email application:

  • Make sure you are using the Reply button rather than composing a new email
  • Avoid significantly changing the subject line
  • Check that the client email settings have threading or conversation view enabled

Missing Emails in Thread #

If some emails appear to be missing from a thread:

  • Click the Refresh button in the Performance Inbox to load the latest messages
  • Check if the email was sent to the correct inbox address
  • Verify that the sender is either a team participant or client/collaborator
