Understanding Gig Status Colors in BookLive

Every performance in BookLive displays a colored status dot that gives you a quick visual snapshot of where that gig stands. Understanding what each color means — and how to change it — helps you stay organized and ensures your calendar accurately reflects the state of your business.

The Three Status Colors #

The status dot appears next to the performance title on your Performances list and at the top of each individual performance page. There are three possible colors:

  • Red — Lead: The default status for any newly created performance. A red dot means the gig is unconfirmed — you’re still in discussions with the client, waiting on a contract, or tracking it as a potential booking.
  • Green — Booked: The gig is confirmed. BookLive automatically sets a performance to green when both you and the client have signed the contract. You can also set it to green manually (see below).
  • Yellow — Postponed: The gig has been postponed. The original date is preserved for reference, and your musicians are notified automatically when you mark a performance as postponed.

Additional Status Flags #

Two additional flags can appear on a performance alongside the status dot:

  • POSTPONED: Displayed in red text when a performance has been postponed. The gig remains on your calendar with its original date shown.
  • CANCELED: Displayed in red text when a performance has been marked as cancelled. Cancelled gigs are excluded from booking totals and revenue reporting.

How Status Changes Automatically #

BookLive updates a performance’s status automatically in the following situations:

  1. New performance created → Status is set to Red (Lead).
  2. Both parties sign the contract → Status automatically changes to Green (Booked) and the booked date is recorded.
  3. Performance is marked as postponed → Status changes to Yellow (Postponed) and musicians assigned to the gig are notified.
  4. Performance is cancelled → The cancellation flag is set and the status resets to Red.

Changing the Status Manually #

You can manually cycle through status colors directly from the performance page:

  1. Go to Performances in the left sidebar and open the gig you want to update.
  2. At the top of the page, locate the colored circle icon next to the performance title.
  3. Click the circle to change the status. It cycles in order: Red → Green → Yellow → Red.

Note: If you manually change a red (Lead) gig to green (Booked) without a signed contract, BookLive will ask you to confirm before proceeding. This is a safeguard to prevent accidentally marking unconfirmed gigs as booked.

How Status Colors Appear in Your Performances List #

On the Performances list view (accessible from Performances in the sidebar), each row shows the colored dot to the left of the performance title. You can quickly scan your list to identify leads, confirmed bookings, and postponed gigs at a glance.

Tips & Notes #

  • The dashboard’s earnings charts and revenue reports count only Green (Booked) performances — leads and postponed gigs are excluded from revenue totals.
  • If a performance was marked as cancelled in error, contact BookLive support to restore it.
  • Postponing a gig from the performance page sends an automatic notification to all musicians assigned to that gig.
  • The status dot is visible to group managers only — clients do not see this indicator in their client portal.
