After connecting your Google Calendar, you can customize how BookLive syncs your performances. This guide covers all available sync settings.
Accessing Sync Settings #
To access your calendar sync settings:
- Go to Settings
- Click the Google Calendar tab
- Your sync options appear below the connection status
Auto-Sync Toggle #
The auto-sync setting controls whether performances are automatically added to your calendar.
When enabled:
- Confirmed performances automatically sync to Google Calendar
- Event updates sync automatically
- Cancelled performances are removed automatically
When disabled:
- You must manually trigger sync
- Use this if you prefer more control over what appears on your calendar
Setup Time #
Setup time adds a buffer before your performance start time. This accounts for:
- Equipment setup
- Sound check
- Wardrobe changes
- Meeting the client
For example, if your performance starts at 7:00 PM and you set 60 minutes of setup time, your calendar event will start at 6:00 PM.
Setting Setup Time #
- Find the Setup Time field
- Enter the number of minutes you need
- Common values: 30, 45, 60, or 90 minutes
- Save your changes
Starting Address #
Your starting address is used to calculate travel time to venues. This helps you know when to leave for performances.
When set, calendar events will show:
- Estimated travel time to the venue
- Suggested departure time
- Total time blocked (travel + setup + performance)
What Gets Synced #
Calendar events include:
- Event title – Performance name or client name
- Start time – Adjusted for setup time
- End time – Performance end time
- Location – Venue address
- Description – Performance details and notes
Manual Sync #
To manually sync your calendar:
- Go to the Google Calendar settings tab
- Click Sync Now
- Wait for the sync to complete
- Check your Google Calendar for updates
Use manual sync when:
- Auto-sync is disabled
- You want to force an immediate update
- Troubleshooting sync issues
Best Practices #
- Enable auto-sync – Keep your calendar always up to date
- Set realistic setup time – Account for your actual needs
- Keep your starting address current – Update if you move
- Check your calendar after booking – Verify events appear correctly
