Understanding Personnel Lists in BookLive

Personnel lists are the foundation of how BookLive helps you manage your group’s roster of musicians. This guide explains how personnel lists work and how to use them effectively.

What Are Personnel Lists? #

Personnel lists are organized collections of musicians within your group. They help you categorize your roster based on availability, skill level, or any other criteria you choose.

Default Lists #

When you create a new group in BookLive, two personnel lists are automatically created:

  • Regulars – Your core musicians who regularly perform with your group
  • Substitutes – Musicians you call when regulars are unavailable

How Personnel Lists Are Organized #

Each personnel list is further organized by specialty (instrument or role). Within each specialty section, you can have multiple musicians listed in your preferred order.

For example, your “Regulars” list might include:

  • Violin – Sarah Johnson, Mike Chen
  • Cello – David Williams
  • Piano – Emily Roberts

Accessing Your Personnel Lists #

To view your personnel lists:

  1. Navigate to your group’s dashboard
  2. Click on Members in the navigation menu
  3. You’ll see all your personnel lists displayed with the number of unique members in each

Creating Custom Personnel Lists #

While the default Regulars and Substitutes lists work for most groups, you can create additional lists to fit your needs. Common custom lists include:

  • Premium Musicians – Top-tier performers for high-budget events
  • Students – Musicians in training
  • Out-of-Town – Musicians available for travel gigs
  • Jazz Specialists – Musicians with specific genre expertise

Key Features #

Unique Member Counts #

The member count shown for each list represents unique musicians. If an artist plays multiple instruments (e.g., violin and viola), they’re counted once even though they appear in multiple specialty sections.

Group Chat #

You can enable group chat for any personnel list, allowing members to communicate with each other within BookLive.

Best Practices #

  • Keep your Regulars list focused on your most reliable core musicians
  • Maintain a robust Substitutes list so you always have backup options
  • Create specialty lists only when you have a clear organizational need
  • Regularly review and update your lists to reflect current availability
