Using Client Chat to Message Your Clients in BookLive

Client Chat is BookLive’s built-in messaging thread between you and your client for a specific performance. Instead of exchanging emails or texts outside the platform, Client Chat keeps all client communication in one place — visible to you, your co-leaders, and any collaborators you’ve added to the gig. When you send a message, your client gets an email notification and can reply directly from their Client Portal. When they reply, you get notified too.

Before You Begin #

  • You must be a group leader or admin to send Client Chat messages.
  • A client must be attached to the performance. If no client has been added yet, you’ll see a prompt to add one before you can use Client Chat.
  • The client’s email address must be on file for them to receive notifications.

Step 1: Open Client Chat on a Performance #

  1. Log in at https://booklive.com/login.
  2. From the left sidebar, click Performances and select the performance you want to message about.
  3. In the performance’s left navigation panel, click Client Chat.

The Client Chat page loads with a scrollable message thread and a text input field at the bottom. If no messages have been sent yet, the thread will be empty.

If no client has been attached to the performance, you’ll see a message prompting you to add one first. Click Add Client to attach a client, then return to Client Chat.

Step 2: Send a Message #

  1. Click the Write a message… field at the bottom of the chat.
  2. Type your message — a question, a reminder, an update about logistics, or anything the client needs to know.
  3. Press Enter or click Send.

Your message appears in the thread immediately. Your client receives an email notification with the message and a link to view and reply in their Client Portal. Any collaborators you’ve added to the performance also receive the notification (except the sender).

Step 3: Client Replies from the Client Portal #

Your client accesses Client Chat through their personal Client Portal link. In the portal’s left navigation, they’ll see a Chat option. When they send a reply, you receive an email notification — and the response appears in your Client Chat thread in real time.

You don’t need to refresh the page. New messages from your client appear automatically as they’re sent.

Tips & Notes #

  • Client Chat vs. Performance Inbox: Client Chat is a real-time messaging thread — great for quick back-and-forth. The Inbox tab handles traditional email threads with the client. Use whichever fits the situation.
  • Collaborators are included: If you’ve added collaborators to the performance (such as a co-planner or venue contact), they’ll receive notifications from Client Chat messages as well.
  • All messages are permanent: Chat history is preserved on the performance and visible to any group leader or admin who views the performance.
  • Clients must have a portal link: Make sure you’ve sent your client their Client Portal invitation so they can access and reply to Chat. You can send or resend the portal link from the Client Portal tab on the performance.
