Using Email Reply Goals in BookLive Workflows

The Recipient Replied to Email goal type automatically stops a workflow the moment a contact replies to any email your workflow has sent. This prevents awkward follow-up messages from landing in a client’s inbox after they’ve already responded — keeping your communication professional and your enrollments clean.

How It Works #

When you add a Recipient Replied to Email goal to a workflow, BookLive monitors every email sent by that workflow’s enrollment. As soon as an inbound reply arrives for any of those emails, the workflow enrollment completes automatically and all remaining steps are cancelled.

This is especially useful for outreach sequences where the whole point is to get a response. Once a reply comes in, there’s nothing left to automate — the conversation has started.

Adding a Recipient Replied Goal to a Workflow #

  1. Go to Marketing in the left sidebar and click Workflows.
  2. Open the workflow you want to edit (or create a new one).
  3. Click Edit to enter the workflow editor.
  4. Scroll to the Goals section and click Add Goal.
  5. From the goal type dropdown, select Recipient Replied to Email.
  6. Give the goal a descriptive name — for example, “Client Replied” or “Lead Responded”.
  7. Optionally, check Notify bandleader when recipient replies to receive an email and in-app notification whenever this goal is triggered.
  8. Click Save Goal, then save the workflow.

The Notify Bandleader Option #

Checking Notify bandleader when recipient replies sends an email and in-app notification to all group leaders when a reply is detected and the workflow stops. The notification includes:

  • The recipient’s name and email address
  • The name of the workflow that completed
  • A link to the relevant performance, partnership, or proposal

This is helpful when you want a human to take over the conversation immediately after the automated sequence ends. It’s turned off by default — enable it when prompt follow-through matters.

When to Use This Goal Type #

Use the Recipient Replied to Email goal for any workflow where getting a response is the end objective:

  • Venue outreach sequences — Gig Vault follow-up cadences reaching out to new partners. Once they reply, stop the drip and start the conversation.
  • Lead nurturing workflows — Inquiry follow-up emails for potential clients. The moment they respond, the sequence is no longer needed.
  • Check-in sequences — Re-engagement campaigns for past clients. A reply signals interest; the workflow should step aside.
  • Quote or proposal reminders — If someone replies to a proposal reminder (even just to ask a question), the automated nudges should stop.

What Counts as a Reply #

BookLive detects a reply when an inbound email arrives in the Performance Inbox or Gig Vault Inbox that is directly threaded to an email sent by the workflow. The reply must come from the original recipient — forwarded messages or unrelated inbound emails in the same inbox do not count.

Tips & Notes #

  • A workflow can have multiple goals active at the same time. The Recipient Replied to Email goal works alongside other goal types (like Proposal Accepted or Invoice Paid) — whichever is triggered first completes the enrollment.
  • This goal only monitors emails sent by the current enrollment. Replies to emails from other workflows or manual emails are not evaluated.

  • The goal is evaluated in real time as soon as an inbound reply is logged — there is no delay.
