Using Gig Vault with International Venues and Partners in BookLive

BookLive’s Gig Vault supports prospecting and partnership management in the United States, Canada, and Mexico. If you perform in Canada or Mexico — or want to build relationships with venues and planners across the border — you can prospect, add partners, and track relationships in any of these three countries, all from the same Gig Vault tools you already use.

Before You Begin #

  • You must have an active BookLive account. Log in at https://booklive.com/login.
  • Gig Vault is located under Marketing in the left sidebar.
  • International prospecting is available to all Pro members.

Step 1: Open the Prospecting Tool #

In the left sidebar, go to Marketing and select Gig Vault. Click the + Prospecting button (or equivalent add button) to open the Prospecting Tool.

Step 2: Set Your Search Location #

At the top of the Prospecting Tool, you’ll see three location dropdowns: Country, Province/State, and City.

  1. Click the Country dropdown and select United States, Canada, or Mexico.
  2. After selecting a country, the second dropdown will update automatically. For Canada, it shows Canadian provinces (e.g., Ontario, British Columbia). For Mexico, it shows Mexican states (e.g., Jalisco, Nuevo León). For the US, it shows US states as usual.
  3. Select the appropriate province or state, then select a City from the third dropdown.
  4. Once you pick a city, the prospect list will load automatically.

Note: When prospecting in Canada or Mexico, distances in the results table are shown in kilometers rather than miles.

Step 3: Filter and Browse Prospects #

Use the Maximum Distance, Prospect Type (Venues or Planners), and Gig Type dropdowns to narrow your results. For non-US results, the country is displayed alongside the city in the partner list so you always know where each prospect is located.

To add a prospect to your Gig Vault, click the + icon to the right of their name. The partnership will be created with a Lead status and the correct international location attached.

Step 4: Adding a Partner Manually with an International Address #

If a venue or planner doesn’t appear in the prospect list, you can add them manually:

  1. Click Add Partner Manually when no results are found (or when the prospect list is empty).
  2. Fill in the partner’s Name and City.
  3. Set the Country dropdown to Canada or Mexico as appropriate. The Province/State dropdown will update to show the correct regions for that country.
  4. Select the correct Province/State, then choose the relevant Gig Types.
  5. Optionally add Website, Phone, Facebook Link, or Instagram Link.
  6. Click Submit Partner to save the record.

Step 5: Using Quick Add to Add an International Contact #

Quick Add (available directly from the Gig Vault) also supports international addresses. When adding a new contact with Quick Add:

  1. Select the Country for the contact’s location.
  2. The Province/State field will adjust to show the correct options for that country.
  3. Complete the remaining fields and save the contact as normal.

Tips & Notes #

  • Distance units: Distances are shown in miles for US-based searches and kilometers for Canadian and Mexican searches.
  • Country label in partner list: Non-US partners display the country code next to their city and state in the Gig Vault list, making it easy to distinguish international relationships at a glance.
  • Your group’s location: If your group is based in Canada or Mexico, make sure your group profile reflects the correct country, province/state, and city. Gig Vault uses your group’s location as the default search center when you open the Prospecting Tool.
  • No prospect results? BookLive’s database for Canadian and Mexican venues is growing. If you can’t find a specific venue, use Add Partner Manually to add them directly, or click Request Prospects and the BookLive Dream Team will research options for your search area.
