Using Internal Notes on Performances in BookLive

Every performance in BookLive has a built-in Notes section where you and your team can leave internal comments, reminders, and context about the gig. These notes are strictly private — clients never see them. This article covers how to add, view, and delete performance notes.

Where to Find Performance Notes #

  1. Log in at https://booklive.com/login.
  2. Click Performances in the left sidebar.
  3. Open any performance by clicking its name.
  4. Scroll down to the Notes section within the performance detail page.

The Notes section displays as a vertical timeline. Each note shows the author’s name, date, and time it was written.

Adding a Note #

  1. In the Notes section, click the text area that reads Leave a note…
  2. Type your note. You can write multiple lines — the text area expands automatically.
  3. Click Save (or press Enter) to post the note.

The note immediately appears in the timeline below, stamped with your name and the current date and time.

What to Use Notes For #

Performance notes are most useful for capturing information that lives outside your contracts, timelines, and client communications — things like:

  • Follow-up reminders (“Call venue to confirm loading dock access”).
  • Logistical details your team needs to know (“Parking is in Lot C, not the main garage”).
  • Client preferences surfaced during a phone call (“Bride prefers no announcements between songs”).
  • Internal decisions or approvals (“Confirmed with Jared to send the contract early”).
  • Post-event debrief items (“Performance ran 20 min long — factor into future quotes”).

Deleting a Note #

  1. Find the note you want to remove in the timeline.
  2. Click the Delete icon (trash can) to the right of the note.
  3. Confirm the deletion when prompted.

Deleted notes cannot be recovered. If a note contains information you may need later, consider archiving it elsewhere before deleting.

Tips & Notes #

  • Notes are private. Clients do not see performance notes — not through the Client Portal and not via any automated email. Use notes freely without worrying about client visibility.
  • Team-visible. Any team member with access to the performance can see and add notes. This makes the Notes section ideal for handoff communication between coordinators.
  • Notes are per-performance. Notes added to one gig do not appear on other gigs, even for the same client. For client-level notes that persist across all bookings, use the Notes tab within the client’s record instead.
  • No editing. Once a note is saved, it cannot be edited — only deleted. If you need to correct a note, delete it and post a new one.
