The Quick Add Contact feature helps you rapidly add contacts from business cards after networking events. It intelligently matches against your existing partnerships and database to prevent duplicates.
Accessing Quick Add #
To use Quick Add Contact:
- Go to your Gig Vault
- Click Quick Add Contact
- The Quick Add dialog opens
Entering Contact Information #
Fill in the contact details from the business card:
Partner Type #
Select whether this is a Venue or Planner. This determines which type of partner record will be created or matched.
Contact Details #
- Contact Name (required) – The person’s name
- Title – Their role (e.g., Event Coordinator)
- Email – Email address for matching and communication
- Phone – Phone number for matching
Company Information #
- Company Name (required) – Business or venue name
- City – City location
- State – State abbreviation
Understanding Match Results #
As you type, Quick Add searches for matches in real-time:
Already in Your Gig Vault (Green) #
These are existing partnerships you already have. You can add the new contact to an existing partnership instead of creating a duplicate.
Found in Database (Orange) #
These are venues or planners in the BookLive database that are not yet in your Gig Vault. You can create a partnership with them and add your contact.
No Matches #
If no matches are found, Quick Add will create a brand new venue or planner record along with your partnership.
How Matching Works #
Quick Add uses intelligent matching to find potential duplicates:
- Name matching – Fuzzy matching catches similar names and typos
- Phone matching – Normalized phone numbers are compared
- Email matching – Email addresses are matched (venues only)
- Location filtering – Matches prioritize same city and state
Results show the match reason and distance from your location in miles.
Three Workflow Options #
Option 1: Add to Existing Partnership #
If the venue or planner is already in your Gig Vault, select it to add the contact to that existing partnership.
Option 2: Create Partnership with Existing Record #
If the venue or planner exists in the database but not your Gig Vault, select it to create a new partnership and link the contact.
Option 3: Create New Partner #
If no matches exist, Quick Add creates a new venue or planner record and a new partnership with your contact.
Tips for Best Results #
- Include city and state – Location helps find accurate matches
- Enter phone or email – These improve duplicate detection
- Check match results – Review suggestions before creating new records
- Use after networking events – Process business cards while details are fresh
