Using the Detailed Proposal Style in BookLive

BookLive offers two proposal styles: Classic and Detailed. The Classic style presents your service packages as visual cards — great for showing multiple options side by side. The Detailed style produces a formal, invoice-style proposal with a line-item breakdown, subtotal, tax, and grand total — ideal when clients expect a professional quote document or when you want to provide a PDF for their records.

Classic vs. Detailed: What’s the Difference? #

  • Classic — Displays each package as a styled card with your group branding, reviews, and an accept button. Best for showcasing multiple options.
  • Detailed — Renders a formal proposal with your company header, logo, a structured items table (name, price, qty, total), discounts, tax, subtotal, and grand total. Also enables PDF download and a custom footer. Best when a single, itemized quote is needed.

Before You Begin #

  • You must have group leader permissions.
  • A client must be added to your BookLive account before creating a proposal.
  • This is a Pro feature.

Step 1: Create a Proposal in Detailed Style #

  1. Log in to BookLive at https://booklive.com/login.
  2. Navigate to Clients and open the client you want to send a proposal to.
  3. Click Create Proposal.
  4. Fill in the Proposal Name, select your Group, and optionally choose a Contract Template.
  5. Under Style, select Detailed.
  6. Click Create.

You can also switch an existing proposal from Classic to Detailed by opening the proposal and selecting Detailed from the Style dropdown in the proposal settings panel.

Step 2: Fill In Proposal Details #

Once the proposal is open, fill in the relevant fields in the settings panel:

  • Date — The event date.
  • Start / End Time — Performance start and end times.
  • Arrival / Departure Time — Optional logistics times shown in the timing table on the proposal.
  • Tax Rate — Enter a percentage (e.g., 8.5 for 8.5%). Tax is calculated on the subtotal and displayed as a separate line.
  • Notes — Internal or client-facing notes displayed at the bottom of the proposal body.
  • Footer — A footer message (e.g., terms, payment instructions) shown below the totals section. Separated from the main body by a divider.
  • Proposal Number — Auto-generated (format: P-YYYYMMDD-XXXX), but you can override it with your own numbering.

Step 3: Add Line Items (Packages and Products) #

In the Detailed style, line items from all packages are displayed in a single items table. To add line items:

  1. Click Add Package to create a package (you can name it descriptively, e.g., “Services”).
  2. Within the package, click Add Product to add each service or line item with a name, price, and quantity.
  3. Optionally add Discounts to the package — these appear as negative line items in the table.

The Detailed proposal automatically calculates:

  • Subtotal — Sum of all line items minus discounts.
  • Tax — Subtotal × your tax rate.
  • Total — Subtotal + tax.
  • Balance — Total minus any recorded paid amount.

Step 4: Add a Logo to Your Proposal #

The Detailed layout displays your group logo in the top-right corner of the proposal header. To upload a logo:

  1. In the proposal settings panel, find the Logo section.
  2. Click Upload Logo and select an image file (max 5 MB).
  3. To remove it, click Remove Logo.

You can also set a default logo for all Detailed proposals in your group:

  1. Go to your Group Settings.
  2. Find the Default Proposal Logo section.
  3. Upload your logo. It will automatically populate on any new Detailed proposal you create.

Step 5: Set a Default Proposal Footer #

To save time, you can set a default footer that pre-fills on every new Detailed proposal:

  1. Go to Group Settings.
  2. Find the Default Proposal Footer field.
  3. Enter your standard footer text (e.g., payment terms, cancellation policy, or contact info).
  4. Click Save.

This footer can still be edited or removed on individual proposals.

Step 6: Send the Proposal to Your Client #

  1. Once the proposal is ready, click Send to Client.
  2. Your client will receive an email with a link to view the proposal.
  3. The proposal page tracks views — you can see when the client first opened it and how many times they viewed it.

What Your Client Sees #

When the client opens their proposal link, they see:

  • Your company name, address, and logo in the header.
  • A Proposal For section with their name, and a summary table showing the proposal name, proposal number, and event date.
  • An event timing table (if start/end times are set) with arrival and departure times.
  • An items table listing each line item with price, quantity, and total.
  • A totals section showing subtotal, tax, total, and balance due.
  • Your notes and footer below the totals.
  • Accept Proposal and Decline buttons. When the client accepts, BookLive automatically creates a performance and contract.

Clients can also download a PDF copy of the proposal directly from the proposal page.

Tips & Notes #

  • The Detailed style works best when you have a clear, single-package quote rather than multiple package options for the client to choose from.
  • You can switch a proposal between Classic and Detailed at any time before the client accepts it.
  • If you use offer stack items (bonus inclusions on your packages), you can toggle whether they appear and whether their dollar values are shown — useful for a cleaner invoice look.
  • The tax field only appears on Detailed proposals; Classic proposals do not show tax.
  • Accepted proposals automatically create a linked performance and contract, just like Classic proposals.
