Using the Mileage Report in BookLive

BookLive includes a built-in Mileage Report for musicians — a tax-season tool that calculates the one-way driving distance from your home address to every gig you’ve played in a given year, and estimates your IRS mileage deduction. If you drive to performances, this report can save you hours of manual tracking at tax time.

Before You Begin #

  • The Mileage Report is available to musicians (artists) with a BookLive account — it reflects performances where you were filled as a player.
  • You must set a Starting Address (typically your home) before distances can be calculated.
  • Cancelled performances are automatically excluded from the report.

Step 1: Open the Mileage Report #

  1. Log in at https://booklive.com/login.
  2. Click your name or avatar in the top-right corner to open the user menu.
  3. Select Mileage Report from the menu.

Step 2: Set Your Starting Address #

Your starting address is the location BookLive uses as the origin when calculating driving distance to each venue. This is typically your home address.

  1. In the Starting Address field, type your home or usual departure address. Use the autocomplete to select the correct address from the suggestions.
  2. Click Save & Recalculate to save your address and recalculate all distances for the selected year.

Once set, your starting address is saved to your account — you won’t need to enter it again unless you move.

Step 3: Select a Tax Year #

Use the Tax Year dropdown to switch between years. The dropdown shows all years in which you have completed performances in BookLive. Distances are calculated per year based on the venues associated with your filled seats.

Step 4: Review Your Mileage Summary #

The report displays three summary figures at the top:

  • Total one-way miles — the sum of one-way driving distances for all trips in the selected year.
  • Trips — the total number of performances included.
  • Estimated deduction — calculated using the IRS standard mileage rate for the selected year, applied to your round-trip mileage (one-way × 2). For example, if the IRS rate is $0.700/mile and you drove 500 one-way miles, your estimated deduction would be $700.00.

Below the summary, a table lists each trip with:

  • Date of the performance
  • Venue name
  • Address of the venue (the destination used for distance calculation)
  • Miles (one-way) from your starting address to the venue

Step 5: Download as CSV #

To export your mileage data for your tax preparer or personal records, click Download CSV. The file includes all trips for the selected year with date, venue, address, and one-way miles.

Tips & Notes #

  • IRS rates by year: BookLive uses the official IRS standard mileage rate for each year (e.g., $0.670/mi for 2024, $0.700/mi for 2025 and 2026). The rate used is displayed next to the estimated deduction.
  • Round-trip vs. one-way: The distances shown are one-way. For IRS deduction purposes, multiply by 2 (round-trip). BookLive does this automatically in the estimated deduction figure.
  • Recalculating distances: If you change your starting address or if venue addresses were updated, click Save & Recalculate to refresh all distance calculations for the year. This clears and recomputes distances from scratch.
  • Distances are cached: Once a trip’s distance is calculated, it’s stored for fast retrieval. Returning to the report page for a previously loaded year is nearly instant.
  • This report is for informational purposes. Consult a tax professional for advice specific to your situation.
