Using the Partnership Inbox in BookLive

BookLive’s Partnership Inbox gives you a dedicated email channel for every venue or planner relationship in your Gig Vault. Instead of managing venue correspondence in your personal email inbox, you can compose, send, and receive messages directly inside BookLive — keeping all communication attached to the right partnership record, visible to your whole leadership team.

Before You Begin #

  • You must have at least one partnership added to your Gig Vault (under Marketing > Gig Vault).
  • Each partnership has a unique BookLive inbox email address that acts as the “from” address for outgoing messages and receives replies from your partners.
  • The Partnership Inbox is available to group leaders and co-leaders.

Step 1: Open a Partnership Record #

  1. Log in to BookLive at https://booklive.com/login.
  2. In the left sidebar, go to Marketing and select Gig Vault.
  3. Find the venue or planner you want to message and click their name to open the partnership record.

Step 2: Navigate to the Inbox Tab #

Inside the partnership record, click the Inbox tab. This is where all email threads with this partner are stored. If no messages have been sent yet, you’ll see the partnership’s dedicated inbox email address displayed — this is the address your partner should use to reach you, and the address your outgoing emails will come from.

Step 3: Compose an Email #

  1. Click the Compose Email button in the upper-right corner of the Inbox card.
  2. Fill in the compose form:
    • To — Enter or select recipient email addresses. If you’ve added contacts to this partnership, their emails will appear as suggestions.
    • CC (optional) — Add any additional recipients to carbon-copy.
    • Subject — Enter a subject line (required, max 255 characters).
    • Message — Type your email body.
    • Attachments (optional) — Click Choose Files to attach up to 10 files (25 MB each).
  3. Review the From address shown at the bottom of the form — this confirms which inbox email will be used as the sender.
  4. Click Send Email to deliver the message.

Step 4: View and Expand Threads #

Each sent and received message appears as a thread in the Inbox. Threads are sorted with the most recent at the top. To read a message, click the expand arrow on the right side of the thread card. The full message body, sender, timestamp, and any attachments will appear. If a thread has replies, the reply count is shown next to the date.

Step 5: Reply to a Message #

When a partner replies to your email, their response lands in the Inbox automatically. To reply:

  1. Expand the thread you want to respond to.
  2. Click Reply on any message in the thread.
  3. The compose form will open pre-filled with the original sender as the recipient, a Re: subject line, and any relevant CC addresses.
  4. Type your reply and click Send Email.

Tips & Notes #

  • Dedicated inbox address: Each partnership has its own unique inbox email. Emails sent from and to this address are tracked automatically in BookLive — no manual logging required.
  • Attachments: You can attach up to 10 files per email, with a maximum of 25 MB per file. Files are stored securely in BookLive and included in sent messages.
  • Team visibility: All group leaders and co-leaders can view the Partnership Inbox. Any leader who sends or replies to an email is automatically added as a conversation participant.
  • Professional appearance: Outgoing emails are sent without BookLive branding in the footer, so your messages look like they came directly from your group — not a third-party platform.
  • Inbound replies: When a partner replies to your inbox email, their response appears in the Inbox automatically. No need to forward or manually import anything.
