The Payroll Report in BookLive gives you a consolidated view of every musician payment you’ve recorded — broken down by artist, with the option to filter by year or view your full payment history at a glance. It’s especially useful at year-end for reviewing total payouts per musician, preparing tax documentation, or auditing compensation records.
Before You Begin #
- You must be a group owner or administrator to access the Payroll Report.
- Payments must have been recorded in BookLive for musicians to appear in the report. Payments entered outside the platform will not be reflected.
Step 1: Open the Payroll Report #
- Log in to BookLive at https://booklive.com/login.
- Navigate to your group dashboard.
- In the left sidebar, click Finances to expand the Finances section.
- Under Finances, click Payroll Report.
The report loads showing all musician payments for the current calendar year by default.
Step 2: Select a Year (or View Lifetime) #
At the top of the report, use the Select Year dropdown to choose the time period you want to review.
- Annual view — Select any year from 2020 through the next calendar year. The report shows only payments recorded within that year.
- Lifetime — Select Lifetime at the top of the dropdown to see the all-time total paid to each musician across all years.
The report updates automatically when you change the selection.
Step 3: Find a Specific Musician #
If your roster is large, use the Search Artists field on the right side of the header to filter the table. Type any part of a musician’s name and the table will narrow in real time.
Step 4: Review the Summary Table #
The main table lists one row per musician with:
- Name — The musician’s name as it appears on your roster.
- Total — The total amount paid to that musician in the selected period.
The table is sorted by total payout in descending order by default, so your highest-paid musicians appear first.
Step 5: Drill Into a Musician’s Payment History #
To see the individual payments behind a musician’s total, click the View button on their row. A full-screen panel opens showing every recorded payment for that musician, including:
- Date — When the payment was recorded.
- Performance — The gig the payment is associated with.
- Payment Method — How they were paid (e.g., BookLive Pay, Check, Cash, Venmo).
- Amount — The dollar amount of that individual payment.
Click Close to return to the summary table.
Tips & Notes #
- The Payroll Report reflects payments that have been recorded in BookLive — meaning the payment was marked as paid on a musician seat. Unpaid or pending seats are not included in the totals.
- To record a payment for a musician seat, navigate to the individual performance, open the Musicians tab, and mark the seat as paid from there.
- If a musician’s name shows “N/A” on the detail view, the payment record may be missing a linked artist profile. Check the original performance for details.
- The Payroll Report does not currently support CSV export. To share the data externally, you can manually reference the per-musician detail view.
